Job Description

The Medical Case Manager provides non-personal, administrative, and aeromedical case management support services for the Aerospace and Operational Medicine Division within the Office of the Command Surgeon at Headquarters Air Force Reserve Command (HQ AFRC) This role is a key component of medical readiness, providing timely and accurate processing for nearly 70,000 reservists across the globe to maintain a "Ready Now!" force. The Medical Case Manager is responsible for executing high-volume medical case processing, program administration, and unit-level customer support while meeting established performance thresholds.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Aeromedical Case Processing: Accomplish administrative case evaluations by receiving, tracking, and reviewing pertinent medical data (medical history, doctor’s findings) to ensure documentation is available for government medical providers to substantiate waivers.
  • System Management: Update and maintain various electronic systems of record, including the Aeromedical Waiver Management Information System (AIMWTS), Electronic Case Tracking (ECT), Physical Exam Processing Program (PEPP), and MEDXS.
  • Coordination and Communication: Coordinate with MAJCOMs, HQ USAF, and Medical Treatment Facilities (MTF) to address reserve-unique medical issues. Track cases through the entire review process, keeping Reserve Medical Units (RMUs) and the Chief of Medical Standards informed of case status.
  • Program Administration: Prepare a variety of recurring and nonrecurring reports, correspondence, and documents related to case processing metrics and data quality.
  • Customer Support: Provide day-to-day advice and assistance to medical personnel in 69 separate units and three numbered Air Forces. This includes responding to phone calls within two duty days and managing incoming/outgoing correspondence.
  • Disposition and Mail-out: Collect and compile data for final case disposition and handle mail-out actions to members.

SKILLS AND QUALIFICATIONS

  • Medical Literacy: Basic knowledge of anatomy, physiology, disorders of human body systems, and emergency medical care procedures.
  • Technical Proficiency: High proficiency with Portable Document Format (PDF) software and the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Must possess proficient typing skills utilizing QWERTY and 9-key pads.
  • Administrative Skills: Excellent oral and written communication skills in English, strong time-management, and prioritization skills.
  • Customer Service: Exceptional customer service skills are required to interface effectively with management, providers, and service members.

EDUCATION & EXPERIENCE

  • Associate degree or Bachelor’s degree in health information management, health sciences, medical administration, healthcare administration, nursing, or a related field.
  • Domain Experience: Must possess demonstrated experience processing and managing physical exams and medical standards, acquired through military medical environments (e.g., USAF PES) or equivalent civilian aeromedical, occupational health, or disability evaluation system environments.
  • Regulatory Knowledge: High level of knowledge regarding medical standards for retention, flying classes, Line of Duty (LOD) determinations, and special operational duty for the USAF.
  • Highly Desired: In-depth knowledge of LOD determinations and Medical Evaluation Boards (MEB) processes.
  • Medical Coding: Knowledge of International Classification of Diseases (ICD-10) coding and medical terminology.

SUPERVISORY RESPONSIBILITY

  • No supervisory Responsibilities.

WORK ENVIRONMENT

  • The work is performed in unclassified work areas within Government facilities.

PHYSICAL DEMANDS

The role primarily involves office-based activities, including answering telephones, greeting visitors, and utilizing automated programs and software (databases, spreadsheets, graphics) for administrative support.

ROLE and LOCATION SPECIFIC FUNCTIONS

  • The primary place of performance is Robins Air Force Base (RAFB), GA.
  • The Medical Case Manager must observe all facility parking, safety, and traffic regulations.
  • Identification badges and name plaques must be displayed while working in Government workspaces.

POSITION TYPE/EXPECTED HOURS OF WORK

  • This is a full-time position with normal operational hours from 0800 to 1600 (EST), Monday through Friday.
  • Personnel must be available during core hours of 0900 to 1500 (EST). While overtime is not authorized, flex-time is permitted to meet requirements.
  • The position observes all federal holidays and Air Force Family/Down Days.

TRAVEL REQUIREMENTS

  • Travel is not required as part of this contract.

CLEARANCE/LICENSE REQUIREMENTS

  • Security Clearance: All personnel must possess or obtain an active favorable Tier 1 (T1) – National Agency Check with Inquiries (NACI).
  • Training Requirements: Completion of DoD Information Assurance Cyber Awareness Challenge, HIPAA, and Privacy Act Training is mandatory.
  • Non-Disclosure: All personnel must sign a Non-Disclosure Agreement (NDA) prior to beginning contract performance due to access to sensitive medical data and Controlled Unclassified Information (CUI).
