Job Objective:

Coordinates the care of the patient from escorting patient to exam room, performing vital signs, preparing patient for exam and discharge and ensures the accurate documentation of patient care activity. As well as all aspects of patient scheduling and ensures all orders, documentation and authorizations are in place prior to office visit/treatment/procedure.Education:
Required: High school diploma, GED or higher level degree and Medical Assistant course completion if hired after March 1, 2025 Licensure/Certification:
Required: American Heart Association BLS
Preferred: Medical Assistant Certification
Experience:
Required: One (1) year of experience in a medical practice/clinic or scheduling in healthcare
Preferred: Clinic scheduling experience Reports To: Manager, Director or Chief Administrative Officer Supervises: N/A Ages of Patients (as assigned): Neonate/Infant, Pediatric, Adolescent, Adult, Geriatric Blood Borne Pathogens: High Potential

Essential Responsibilities

1. Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
2. Assists patients to exam/procedure rooms; obtains medical and social history, vital signs, height and weight, allergy information, medication reconciliation information and records data in electronic health record (EHR); records information accurately and timely in EHR.
3. Assists providers by ensuring that appropriate preparation, examination and diagnostic testing occur without error and without delay.
4. Processes patient referrals to other provider offices.
5. Prepares patient electronic medical record (EMR) charts timely and accurately.
6. Gathers reports, labs, studies or other data pertinent to upcoming patient appointments.
7. Places order for films, labs and other studies as appropriate, timely and accurately.
8. Collaborates with patient scheduling and schedules patients as needed.
9. Answers all patient questions and requests timely and appropriately.
10. Faxes and copies necessary information to insurance companies, other provider offices and facilities as necessary.
11. Responds to patient pharmacy requests in collaboration with providers.
12. Answers phones, retrieves voicemail messages and returns calls timely and appropriately.
13. Maximizes use of free time between patients by cleaning and stocking rooms, copying documents and filing; assists with medical and office supplies inventory and/or ordering.
14. Obtains provider or patient signatures on appropriate documents.
15. Accepts responsibilities only within scope of practice.
16. Maintains and practices professional boundaries with all patient interactions.
17. Coordinates patients scheduling for department; verifies insurance and authorizations for patient appointments.
18. Identifies patients by using proper method of retrieving patient history/information.
19. Reviews assigned clinic referral work queues to ensure all referrals and appointments are linked correctly for scheduled appointments; may be responsible for scheduling supportive care appointments.
20. Reviews schedule in advance for signed and active orders, authorizations, follow-up appointments and incomplete items; updates account with accurate information obtained from health plan.
21. Manages automated scheduling technologies to communicate, confirm, and update scheduled patient visits.
22. Completes confirmation calls as needed in collaboration with clinic support staff.
23. Identifies expiring orders and notifies appropriate clinic staff for renewal.
24. Assists in monitoring clinic readiness in The Joint Commission, California and Federal standards, if applicable.
25. Collaborates with Patient Financial Services to ensure authorizations and referrals are current and appropriate, if applicable.
26. Utilizes various reports to identify patients without appointments, recalls, no shows, etc., if applicable.
27. Performs other duties as assigned.
