Job Description

Reports To: Clinical Operations Manage

The Medical Assistant (MA) is responsible for providing direct patient care under the supervision of healthcare providers, while also performing a variety of clinical and administrative tasks to support the efficient functioning of the healthcare practice. The Medical Assistant plays a key role in facilitating patient care, ensuring accurate documentation, and maintaining a clean and safe clinical environment.

Key Responsibilities:

Clinical Duties

  • Prepare patients for examination by taking and recording vital signs (blood pressure, temperature, Respiration rate, heart rate, height, weight, etc.).
  • Assist with closing care gaps such as preventive screenings and immunizations.
  • Assist healthcare providers during patient examinations and procedures by preparing instruments, equipment, and patients.
  • Perform point-of-care testing (POCT) and other routine clinical tasks (e.g., EKGs, ear lavage) as directed by the provider.
  • Assist the provider with routine exams, minor procedures, and patient education.
  • Clean and disinfect examination rooms and equipment between patient visits, adhering to infection control standards.
  • Performs POCT controls and checks refrigerator temp.

Administrative Duties

  • Enter and update patient information in electronic health record (EHR) systems (e.g., Epic) accurately and promptly.
  • Handle patient phone calls, messages, and inquiries, ensuring appropriate follow-up.
  • Maintain accurate and organized patient charts ensuring compliance with HIPAA regulations.
  • Perform pre-visit planning in preparation for patient appointments.
  • Monitor Eprescribing pool, Prescription refill Voicemails, and Prescription faxes as assigned.
  • Prepare prescriptions for providers using company protocols.
  • Assist in obtaining and preparation of prior authorization for medications and durable medical equipment as needed.
  • Actively participate in patient outreach for preventive care and chronic disease management (e.g., reminding patients about screenings, follow-up visits, or lab work).
  • Support population health initiatives by identifying gaps in care (e.g., overdue screenings, immunizations) and taking steps to address them.
  • Other duties as assigned by Clinical Operations Manager.
  • Share in vacation and sick leave for Medical Assistant coverage (may include covering at other HCHC sites) as needed.
  • Ensure proper inventory of clinical supplies

Team Collaboration and Communication

  • Collaborate with providers, nurses, and other healthcare team members to deliver high-quality patient care.
  • Participate in team huddles or meetings to discuss patient care, workflows, and operational improvements.
  • Provide support to other medical assistants or staff as needed, ensuring smooth clinic operations.
  • Communicate effectively with patients, their families, and other team members in a professional manner.

Quality and Compliance

  • Ensure compliance with healthcare regulations and clinic policies, including OSHA, HIPAA, and infection control standards.
  • Maintain clinical equipment, ensuring proper functioning and cleanliness.
  • Assist in quality improvement initiatives and participate in continuing education to stay current with clinical best practices.
  • Adhere to clinic safety protocols and report any incidents or concerns to management immediately.
Requirements

Qualifications:

Education and Certification:

  • High school diploma or equivalent required.
  • Completion of an accredited medical assistant training program preferred.
  • Certification as a Medical Assistant (CMA, RMA, or equivalent) preferred.
  • CPR certification is required.

Experience:

  • Prior experience working as a medical assistant in a healthcare setting is preferred but not required.
  • Experience with electronic health records (EHR) systems, particularly Epic, is preferred.

Skills and Competencies:

  • Strong clinical skills, including taking vital signs and performing POCT tests.
  • Excellent communication and interpersonal skills, with the ability to build rapport with patients and healthcare team members.
  • Detail-oriented with strong organizational and multitasking abilities.
  • Proficient in EHR systems and basic computer applications.
  • Knowledge of medical terminology, procedures, and healthcare regulations.
  • Ability to work in a fast-paced environment while maintaining a high level of patient care.

In addition to medical and oral health/dental services, we provide behavioral/mental health services, substance abuse treatment, eye care, physical therapy, and laboratory services. We also provide numerous community services and supports. Federal funding supports some of this work, as do insurance payments, but these are not sufficient to cover all the services we provide. We rely on grants from foundations and other sources, as well as on individual donations, to support new initiatives and all of our community programs.
