The Medical Affairs Project Manager serves as a key operational partner to the Global Medical Affairs organization. This individual is responsible for coordinating Medical Affairs activities related to investigator-initiated studies (IIS), Medical Affairs-sponsored studies, scientific communications, publications, vendor management, budget tracking, compliance processes, and operational infrastructure.

The position works cross-functionally with Medical Affairs, Clinical Development, Regulatory Affairs, Compliance, Legal, Finance, Procurement, Medical Information, R&D, Commercial, and external partners to ensure efficient and compliant execution of Medical Affairs activities globally.

This role requires a highly organized and self-motivated individual with demonstrated project management capabilities, strong attention to detail, and the ability to manage multiple initiatives simultaneously while ensuring timely execution and completion of key deliverables.

Responsibilities

Vendor & Financial Management

• Manage vendor-related activities, including vendor onboarding, contract administration, purchase orders, invoice processing, and payment tracking
• Collaborate with Procurement and Finance to support vendor management, financial compliance, budget tracking, and reporting
• Track Medical Affairs budgets, study expenditures, and key financial metrics

Evidence Generation Programs

• Manage grant review workflows, meeting coordination, contracting, payments, and closeout activities
• Monitor educational grant and IIS budgets, payments, and compliance requirements
• Establish and manage IIS governance processes, ensuring compliance with GCP, internal SOPs, and regulatory requirements
• Oversee IIS financial management, including budget allocation, contract execution, milestone tracking, and reconciliation of study spend
• Monitor IIS program performance through defined metrics and reporting
• Support Medical Affairs-sponsored post-market studies, including study startup, documentation management, milestone tracking, budget tracking, and study reporting

Publications & Scientific Communications

• Coordinate the internal publication processes for approval of manuscripts, abstracts, posters, presentations, and scientific communications
• Coordinate publication vendors, timelines, and deliverables
• Maintain publication databases, trackers, and reporting tools

Medical Affairs Infrastructure & Operations

• Develop and maintain Medical Affairs operational trackers, dashboards, metrics, and reporting tools
• Maintain centralized repositories of Medical Affairs study, publication, training, and scientific communication assets
• Manage team documentation within SharePoint, Microsoft Teams, and other Medical Affairs systems
• Coordinate shipment, accountability, and tracking of devices and consumables utilized in Medical Affairs activities
• Assist with development, implementation, and continuous improvement of Medical Affairs processes, tools, and operational workflows

Compliance & Operational Support

• Support Sunshine/Open Payments reporting activities related to grants, studies, and other Medical Affairs programs
• Assist with training compliance tracking and onboarding activities for Medical Affairs personnel
• Support implementation of Medical Affairs SOPs and ensure alignment with corporate policies and procedures
• Facilitate cross-functional collaboration with Medical Affairs, Clinical Development, Regulatory Affairs, Compliance, Legal, Finance, Procurement, Medical Information, and Commercial teams
• Create and maintain process documentation, operational records, and other required documentation
• Other duties as required

Meeting & Conference Management

• Coordinate meeting logistical support as needed

Qualifications

• Bachelor's degree preferred; equivalent combinations of education, training, and relevant experience will be considered
• Minimum of 5 years of experience in Medical Affairs Operations, Clinical Operations, Clinical Research, Project Management, or related healthcare industry roles
• Experience supporting investigator-initiated studies (IIS), post-market studies, publication tracking, grants programs, or evidence-generation activities preferred
• Experience managing vendors, contracts, purchase orders, invoices, budgets, and financial tracking
• Strong project management, organizational, and problem-solving skills
• Ability to manage multiple priorities, maintain attention to detail, and drive projects from initiation through completion
• Highly motivated self-starter with the ability to work independently, take ownership of responsibilities, and consistently deliver high-quality results
• Excellent interpersonal, written, and verbal communication skills
• Experience working cross-functionally with internal stakeholders and external partners
• Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Teams, and SharePoint
• Experience within medical devices, aesthetics, dermatology, or energy-based technologies
• Experience supporting global Clinical & Medical Affairs organizations
• Experience with SharePoint, Veeva, CRM systems, publication management platforms, or related tools
• Minimal travel required (approximately 15%), primarily for team meetings, planning sessions, training activities, or other business needs
• In Office-Hybrid schedule - 3 days per week in office Tuesday-Thursday. Work from home on Mondays and Fridays

The range of starting base pay for this role is 98,000-135,000. Actual starting pay will be based on a wide range of factors including, but not limited to, relevant skills, experience, qualifications, education and location. In addition to base pay, this position is eligible for participation in either (i) our annual bonus program or (ii) a sales incentive plan.
