Our client is looking for a
Medical Administrative Assistant.
They operate within the mental and behavioral health sector and have strengthened their impact in recent years through expanded patient services and a renewed focus on accessible, inclusive care across diverse communities. This role plays an essential part in keeping their operations running smoothly while ensuring patients feel welcomed, supported, and understood.
Serve as a compassionate first point of contact for patients via phone, email, and messaging platforms.
Schedule appointments, manage provider calendars, and coordinate follow-ups using practice management tools such as PracticeQ and Spruce Health.
Support intake processes by gathering necessary documentation and ensuring patient records are complete and organized.
Assist with insurance-related tasks, eligibility checks, and basic administrative workflows as needed.
Maintain accurate digital files, notes, and communication logs to ensure timely, coordinated care across the clinic.
Provide empathetic support to patients navigating sensitive situations, demonstrating emotional intelligence and professionalism.
Uphold confidentiality standards and handle protected health information with care.
Collaborate with the clinical and administrative team to ensure smooth day-to-day operations and a positive patient experience.
Strong verbal and written communication skills in English.
Prior experience in administrative roles, preferably in healthcare or patient-facing environments.
High level of empathy, emotional awareness, and discretion.
Ability to navigate digital tools and communication platforms (Spruce Health, PracticeQ).
Organized, reliable, and proactive with a strong sense of responsibility.
Comfortable supporting individuals from diverse backgrounds, including LGBTQ patients.
Ability to manage multiple tasks while remaining calm, patient, and approachable.
Experience working in medical administration, mental health, or other clinical settings is preferred.
Strong customer service skills and the ability to remain grounded in emotionally sensitive contexts.
Demonstrated compassion, patience, and understanding when assisting patients and families.
A genuine interest in inclusive care and supporting LGBTQ communities (experience is a plus).
Comfortable working in a fast-paced environment with shifting priorities.
