The Mechanical Payables Clerk (Summer Student) is responsible for reviewing, validating, and processing mechanical repair invoices and claims for payment. This role ensures invoices align with approved authorizations, identifies billing discrepancies, and maintains accurate records within the payables system. The position requires strong attention to detail, high-volume processing capability, and effective collaboration with internal teams and external vendors to ensure payments are accurate, compliant, and processed within required timelines.

Essential Responsibilities:

Core Job Responsibilities

  • Review and process a high volume of repair facility invoices against approved claim authorizations while maintaining accuracy and meeting established timelines.
  • Identify discrepancies or billing issues prior to payment processing.
  • Escalate complex issues or potential compliance concerns to appropriate internal stakeholders.
  • Work with claims staff, repair facilities, or vendors to resolve invoice discrepancies when required.
  • Verify that all required supplemental documentation (e.g., repair orders, parts invoices, supporting claim details) has been received prior to payment processing. Follow up with repair facility for any missing documentation.
  • Prepare and reconcile payable interface reports to ensure system accuracy and completeness of payments.
  • Maintain accurate records and ensure compliance with company policies and procedures.

Innovation & Improvement

  • Identify opportunities to improve workflow efficiency, payment accuracy, and internal processes.
  • Suggest practical improvements to systems, procedures, or controls that support operational effectiveness.

Customer Service

  • Respond promptly and professionally to repair facility inquiries regarding payment status, invoice discrepancies, or required documentation.
  • Communicate effectively with team members to ensure consistent application of payable processes.
  • Maintain a service-oriented approach while upholding company policies.

Collaboration & Communication

  • Communicate effectively with team members to ensure consistent application of payable processes.
  • Share information and updates that help maintain alignment across the payables and claims teams.
  • Collaborate with colleagues to resolve issues and maintain operational efficiency.

Leadership & Development of Others

  • Demonstrate subject matter expertise in invoice validation and claim eligibility requirements.
  • Share knowledge and provide guidance to ensure consistent interpretation of claim authorizations, eligibility criteria, and short-payment decisions.
  • Assist team members with complex invoices or unusual billing scenarios.
  • Support onboarding and cross-training initiatives when requested.
  • Contribute to a culture of accountability, attention to detail, and financial stewardship within the department.

Goal Setting

  • Set and manage goals aligned with Finance department strategic objectives.
  • Demonstrate ownership and accountability for deliverables and deadlines.
  • Contribute to continuous improvement initiatives and broader finance team priorities.

Other duties as required, including participation in regulatory initiatives, system changes, and special projects.

Qualifications:

Education

  • High school diploma is required.

Experience

  • Previous accounts payable experience is an asset.
  • Background in an automotive dealership or repair facility environment is preferred.
  • Knowledge of invoice validation and accounts payable procedures.

Technical Skills

  • Strong phone skills.
  • Intermediate skill with Microsoft Office (Word/Excel) is required/an asset.
  • Fluent in English with proven competencies in verbal and written communication is required.
  • Fluent in French with proven competencies in verbal and written communication is an asset.
