Job Description

As Materials Coordinator your role is to assist with, or own tasks that support Materials Team deliverables both for Development and Production materials.

Please note this role is based in Ho Chi Min City, Vietnam.

The Responsibilities:

  • Issue and amend purchase orders (POs) as required, ensuring that all documentation is accurate

  • Ensure timely follow-up on sample orders with suppliers

  • Review, submit and track supplier invoices for payment

  • Track and report to factories, PD and Management Proto/Range Stages Final review sample material status

  • Track and store Supplier quotations within appropriate folders

  • Update pricing in the seasonal Material Grid for both development and production and communicate changes to costing

  • Creating and maintaining colour matching sheets providing design colour visuals across all materials

  • Take meeting notes for Design and Sample Review sessions, compare design notes when possible, resolve discrepancies, and publish results

  • Receive Tannery delivery data from factories and generate KPI data

  • Gather and create data for Running Changes initiated by material changes

  • Request and distribute Core Supplier seasonal catalogues

  • Maintain and distribute updates/changes for 3 core libraries

  • Collect, approval stamp and distribute Master Swatches and Colour windows to factories and suppliers

  • Follow up with shippers (DHL) when needed

  • Run report and distribute monthly supplier forecasts

  • Maintain the Seasonal Material Grid and integrate direct flow materials. (= As Direct flow styles are added update Seasonal Material Grid for direct flow materials)

  • Keep track, review, and mark ‘Buy Ready’ in the system, making sure colour swatches are coordinated on time

  • Gather for required documentation to set up new suppliers in internal systems

  • Track and maintain supplier Leather Working Group (LWG) certifications for compliance

  • Coordinate the seasonal colour development process by receiving design palettes request and initiating lab dip/strike-off requests with suppliers

  • Ensure on time completion of all samples with correct colours

  • Ensure clear and concise communication to relevant stakeholders including overseas partners

  • Assess and approve colour accuracy for all development samples and production

  • Build, organize and store colour swatches and colour windows neatly and systematically

The Person:

  • Proficient in MS Office

  • Able to be assertive, self-motivated, and work in a team environment

  • Ability to anticipate needs, perform research, and solve problems

  • Experience with vendor negotiation a plus

  • Interest in becoming familiar with footwear manufacturing

  • Ability to travel and work in factory and lab environments as needed

  • Experience with coordinating and prioritizing multiple tasks and customers

  • Sensitivity to different cultures, customs, and business practices

  • Highly organized and a strong eye for details

  • Ability to work through issues without supervision

  • Able to excel under pressure

  • English spoken and written, Mandarin Chinese a Plus
