Material Coordinator-26000871

The Material Coordinator – Small Projects is responsible for planning, coordinating, and managing materials required for cryogenic and industrial gas projects. This role ensures materials and equipment are properly specified, purchased, delivered, staged, and available to support project schedules, cost control, and quality requirements. The Material Coordinator works closely with Engineering, Maintenance, Project Management, Purchasing, and Warehouse personnel to support efficient execution of projects from planning through installation.

Essential Duties and Responsibilities:

Material Planning & Project Support:

  • Review small capital project scopes, drawings, specifications, and bills of materials.
  • Validate material requirements in collaboration with Engineering, Maintenance, and Project Managers.
  • Identify long‑lead, critical, or specialty materials and plan procurement accordingly.
  • Develop and maintain material procurement schedules aligned with approved project timelines.

Procurement & Purchasing Coordination:

  • Prepare and submit purchase requisitions for capital project materials, equipment, and services.
  • Coordinate with Purchasing to obtain quotes, place purchase orders, and track supplier lead times.
  • Verify material specifications, quantities, and delivery requirements prior to order release.
  • Expedite materials as necessary to support project schedules.

Inventory & Warehouse Coordination:

  • Review on-hand inventory to maximize use of existing or surplus materials.
  • Coordinate the receipt, inspection, staging, and kitting of materials by project.
  • Ensure materials are properly labeled, stored, and protected.
  • Maintain accurate records of material usage and inventory movements.

Vendor & Logistics Management:

  • Communicate delivery schedules and requirements with vendors and logistics providers.
  • Resolve issues related to late deliveries, damaged materials, incorrect shipments, or substitutions.
  • Coordinate deliveries to job sites, storage areas, or installation locations.

Cost Control & Documentation:

  • Maintain complete documentation for purchase orders, receipts, returns, warranties, and spare parts.
  • Support project close‑out activities, including reconciliation of material costs and usage.
  • Assist with capitalization, asset tagging, and recordkeeping as required.

Cross‑Functional Coordination:

  • Serve as the primary point of contact for material status on assigned projects.
  • Provide regular updates to Project Managers and stakeholders on material availability and risks.
  • Support Maintenance and Installation teams during project installation and commissioning.
  • Participate in project meetings as needed.

Safety, Quality & Compliance:

  • Ensure materials meet company standards, engineering specifications, and safety requirements.
  • Follow established procedures for material handling, storage, and environmental compliance.
  • Support supplier quality reviews and audits related to purchased materials.

Continuous Improvement:

  • Identify opportunities to standardize materials and improve procurement efficiency.
  • Recommend process improvements to reduce cost, lead time, and project delays.
  • Document lessons learned to support continuous improvement of project execution.

Physical Requirements & Work Environment:

  • Ability to lift, carry, push, or pull materials weighing up to 50 pounds, with or without reasonable accommodation.
  • Frequent walking, standing, bending, reaching, and climbing stairs or ladders in industrial and warehouse environments.
  • Ability to work in active industrial, manufacturing, construction, and warehouse areas, including exposure to noise, dust, temperature variations, and moving equipment.
  • Must be able to wear required personal protective equipment (PPE) such as hard hats, safety glasses, gloves, steel‑toe footwear, and hearing protection.
  • Ability to safely navigate job sites, material storage areas, and equipment installation locations.
  • Operating equipment including forklifts, pallet jacks, small hand tools and transportation equipment.

Qualifications

Qualifications:

Education & Experience:

  • High school diploma or equivalent required; pursuant of technical degree preferred.
  • Preferred candidate 2–5 years of experience in material coordination, procurement, inventory management, or capital project support in an industrial or manufacturing environment.

Knowledge, Skills, and Abilities:

  • Working knowledge of material planning, procurement, and inventory control processes.
  • Ability to read and interpret specifications, and bills of materials.
  • Proficiency with Microsoft Office applications, JDE experience a plus.
  • Strong organizational, analytical, and problem‑solving skills.
  • Effective written and verbal communication skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong attention to detail and cost awareness.
