Kōrero mō te tūranga - About the role

Te Herenga Waka - Victoria University of Wellington is currently recruiting a Mata Ahupae - School Administrator to join Te Puna Hauora - School of Health on a 9-month fixed-term, full-time basis.

This role provides administration support to students, staff, and stakeholders of Te Puna Hauora - School of Health and requires a level of flexibility to integrate individual duties with the work of others to achieve team goals in a busy work environment.

Key responsibilities:

  • Monitor staff and student research grants management on behalf of the school in consultation with the grant holder and the Pou Hautū - School Manager.
  • Undertake the administration of research related employment agreements for contract and short-term staff ensuring adherence to policies and guidelines, alongside the Pou Hautū - School Manager.
  • Assistance with administration of material on Canvas (University Learning Management System) and grade entry processes.
  • Working with academic staff to meet course administration deadlines efficiently, using prescribed University processes, systems, and software as well as maintaining oversight of information throughout each trimester to ensure policy compliance, consistency, and accuracy.
  • Developing and maintaining consistent processes to manage and ensure effective and efficient record keeping of student and course level data and information.

The ideal candidate will be a highly organised self-starter and natural relationship builder, who relishes working autonomously as well as contributing positively to a high performing team. You will need effective time management and forward planning to balance meeting deadlines and maintain a high standard of service to both students and staff. The ability to remain calm under pressure and thrive working with a diverse range of stakeholders.

Key requirements:

  • Demonstrated excellence in customer service and office administration, with the ability to provide effective administrative support in a busy, open-plan office setting.
  • Experience communicating clearly and concisely with a wide range of people over a variety of communication methods.
  • An intermediate to advanced level of ability using Office 365 application.
  • Demonstrated technical proficiency in using systems and applications, particularly databases, with a strong focus on accuracy and attention to detail.
  • Commitment to Te Tiriti o Waitangi and its obligations to Māori as tangata whenua and treaty partners.
  • An understanding of financial processes in a tertiary or public sector environment, including budgets, purchasing, and expenditure monitoring, with the ability to work within established policies and delegations.
