Job Description

Reports to: MECC Principal

Administrative Assistant - Preschool and PS - 2nd Grade Special Education - 227 day position

Qualifications

  • Ability to multi-task
  • Experience with Google products (i.e calendar, forms, sheets. etc)
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive student information

Preschool Responsibilities

Attendance:

  • Maintain and update daily attendance records for Preschool Students.
  • Track excused and unexcused absences, tardiness, and early dismissals.

Tuition and Fees:

  • Process monthly tuition payments
  • Process snack fee payments

Preschool Application/Lottery:

  • Update Preschool Application
  • Update Preschool Information for Website
  • Coordinate Preschool Open House night
  • Print and sort applications for preschool lottery
  • Send acceptance or waiting list letters to applicants via email

Preschool Transportation:

  • Print bus tags
  • Generate car rider cards
  • Generate spreadsheet for each preschool teacher with their classes transportation information

Preschool Licensing:

  • Print updated class lists every month for state licensing binder
  • Print updated preschool forms for state licensing binder

Student Entries/Withdrawals

  • Schedule new students
  • Process student withdrawals
  • Send student records to new school if applicable
  • Request records from previous school if applicable

Miscellaneous:

  • Visitor/volunteer sign-in
  • Answer questions regarding preschool program
  • Maintain list of new Preschool students for the Registration Office
  • Fill available openings for typical preschool students
  • Maintain Preschool class list

Special Education Responsibilities

  • Schedule IEP Review meetings
  • Schedule 504 meetings
  • Generate and mail parent invitations for Special Education Meetings (PS-2)
  • Maintain MECC Intervention Calendar
  • Check IEP documents in Samegoal for correct dates and other information
  • Request special education and 504 documents from schools for move-in students (PS-2)
  • Send Special Education/504 documents to school district for students who withdrew (PS-2)
