Marram Montauk is seeking a highly organized, hospitality-driven professional to oversee sales coordination, post-contract group servicing, and on-property experience programming. This role supports the sales process through CRM administration and contract documentation while leading execution of contracted group business and managing daily guest activations. The position sits at the center of revenue support, operational coordination, and brand experience delivery.
The ideal candidate is detail-oriented, proactive, polished in communication, and thrives in a fast-paced seasonal luxury environment.
Core Responsibilities
Sales Coordination & CRM Management
- Monitor sales inbox and voicemail daily, ensuring timely and professional responses
- Vet inquiries and route appropriately to corporate Sales Managers
- Create and manage estimates and contracts within Event Temple CRM
- Maintain accurate CRM records and audit weekly for completeness
- Input and manage group rooming lists in StayNTouch PMS
- Support deposit tracking and maintain monthly deposit schedule
- Process and record deposits in accordance with financial protocols
- Schedule, confirm, and conduct property tours and site visits
- Prepare tour materials and ensure spaces are presentation-ready
Group & Event Services (Post-Contract)
- Serve as primary on-property contact for contracted groups and retreats
- Lead pre-arrival detailing calls and internal operations meetings
- Manage timelines, BEO coordination, and internal communication
- Coordinate rooming lists and logistics with Front Office
- Oversee execution of beach dinners, fireside chats, wellness sessions, and custom programming
- Liaise with F&B, housekeeping, culinary, and maintenance teams
- Track group billing in coordination with accounting
- Ensure seamless handoff from corporate sales to property operations
Experience Programming & Vendor Management
- Own and manage the calendar of daily activations (yoga, meditation, tarot, surf sessions, wellness workshops, etc.)
- Source, onboard, and manage third-party instructors and wellness vendors
- Negotiate vendor rates within approved budgets
- Ensure programming aligns with Marram’s brand positioning and guest demographic
- Monitor attendance and guest feedback to refine offerings
- Assist in seasonal programming strategy development
Guest Experience & Brand Stewardship
- Support VIP and high-touch guest experiences
- Ensure all activations are executed with luxury-level polish
- Maintain consistency of brand voice and atmosphere
- Identify opportunities to elevate engagement and repeat visitation

Essential Duties:
- Able to identify, target, and set sales goals as needed.
- Able to effectively communicate to team and management via in-person, writing, or emails.
- Able to network to build and maintain professional relationships with clients.
- Able to compile and analyze weekly and month end reports, review and implement action plans to address market share penetration.
- Able to maintain files on major active accounts within the market segment.
- Able to use repetitive hand and body motions such as grasp, writing, typing, listening, hearing, and visual acuity.
- Role may require the ability to drive a motor vehicle, stand, walk, sit, talk, talk on a telephone or mobile device, carry a laptop (including while traveling), use a computer for a significant amount of time each day, to hear, and to occasionally lift to 20 lbs.

Specific Requirements of this role:
- Establish and grow the hotel’s market share by developing and maintaining relationships with major groups and catering clients.
- Plan sales trips, under the direct approval of the Director of Sales, to major marketing areas.
- Identify new business leads by examining local market trends and competition activities and provide feedback to the Director of Sales.
- Support management in preparing the department budget and the hotel’s overall sales goals and strategies.
- Perform other duties as assigned.

Qualifications

Qualifications
- 3–5 years experience in hospitality, event servicing, sales coordination, or experiential programming
- Proficiency in Microsoft Office Suite (Word, Excel)
- Ability to quickly learn CRM and PMS systems (Event Temple and StayNTouch experience preferred)
- Strong organizational and project management skills
- Excellent written and verbal communication
- Ability to multitask and prioritize in a high-paced seasonal environment
- Experience managing vendors and external partners preferred
- Passion for lifestyle, wellness, and boutique hospitality
