Summary
The Marketing Project Assistant provides administrative and project coordination support to the Creative and Marketing teams. This temporary role assists in planning, tracking, and executing marketing and creative deliverables to ensure timely completion, accurate documentation, and effective communication across teams and vendors.
Key Responsibilities
- Coordinate lifecycle tracking of creative marketing projects
- Maintain project schedules, documentation, and task management systems
- Facilitate communication between internal departments and external vendors (under supervision)
- Support budget tracking and reporting processes
- Assist with contract coordination for Independent Contractors
- Support coding, authorization, and submission of marketing invoices to Accounts Payable
- Ensure compliance with company policies and confidentiality standards
Qualifications
Qualifications
Education:
Associate degree or progress toward a Bachelor’s degree in Marketing, Communications, Music Business, or related field; or equivalent experience.
Experience:
0–2 years of administrative or marketing project support experience. Music industry exposure preferred but not required.
Required Skills & Competencies
- Foundational understanding of marketing principles
- Strong organizational and time-management skills
- Professional written and verbal communication abilities
- Ability to follow established guidelines and escalate questions appropriately
- Proficiency with Mac computers and Microsoft Office (iOS)
- Familiarity with digital marketing tools such as Asana, Wrike, Meta Business, or Google Business is beneficial
- Ability to maintain strict confidentiality
- Demonstrated ability to manage deadlines and competing priorities
Physical Requirements, Working Conditions:
- Ability to listen, read and comprehend instructions, both verbal and written.
- Ability to learn, understand, retain, and incorporate information with training and repetition
- Ability to listen, speak, write, and comprehend English.
- Must have basic mobility in and around the facility and offsite locations.
- Must be able to lift, push, and pull light objects and reach, bend, and stoop.
