Overview

The Break Time Marketing Operations Coordinator provides administrative and operational support for the Marketing Department and serves as a resource for store locations across a network of 75 convenience stores. This position prepares reporting, tracks audit results, processes and tracks department invoices, coordinates print production, responds to store support requests, administers employee recognition and uniform programs, and coordinates fulfillment of marketing materials requests. The Coordinator works closely with Break Time Marketing and Operations teams to facilitate accurate and efficient program execution, communications, and store support activities.

Responsibilities

  • As a primary contact for store-related marketing support requests, order and distribute supplies and promotional materials.
  • Coordinate the uniform ordering program for store management teams, ensuring adherence to the uniform policy by tracking program eligibility and monitoring and tracking order records. Process or reject orders, communicating with stores as appropriate.
  • Administer Tobacco/Alcohol carding compliance recognition and incentive programs, including reviewing vendor mystery shop reports, identifying participating employees, tracking success/failure for bonus and incentive determinations, and preparing and distributing rewards.
  • Track and maintain accurate records related to store marketing activities and programs, cash audits and monthly store visit audits and other activities using databases, spreadsheets, and other departmental records.
  • Compile, organize, and distribute recurring reports for the Operations team.
  • Monitor program metrics and provide reporting support as needed.
  • Process Break Time marketing invoices, track expenditures, and ensure timely payment with accounts payable, maintaining records of orders and invoices.
  • Communicate with the Break Time marketing team’s vendors regarding orders, deliveries, and invoicing questions.
  • Coordinate the production of printed marketing materials, signage, forms, and promotional assets for store locations, serving as the primary liaison with external printing vendors to obtain quotes, place orders, manage timelines, ensure quality of completed orders, and resolve issues.
  • Using knowledge of store programs and operations, work with marketing team members to determine stores’ needs for print and signage for promotions, initiatives, and new store programs.
  • Provide administrative support to the Senior Marketing Manager and assist with special projects and department initiatives.
  • Assist with budget tracking and reconciliation as requested.

Job Requirements

  • Associate's degree or equivalent work experience.
  • 2+ years of administrative, coordinator, retail support, or marketing support experience.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office, particularly Excel.
  • Strong written and verbal communication skills.
  • Ability to speak, read, write, and understand the English language to communicate accurately and effectively with customers, coworkers, and supervisors.
  • Ability to meet Company requirements, including successful pre-employment background and check and drug test.
  • Legal authorization to work in the United States.

Preferred Skills

  • Experience supporting multi-location retail operations.
  • Experience with invoice processing and vendor management.
  • Experience with reporting and data analysis.
  • Familiarity with promotional programs, incentives, or employee recognition programs.
