The Opportunity:

We are currently seeking a Marketing Coordinator to join our Marketing and Business Development team.

In this role, you will help tell PRIME AE’s story by developing compelling proposal content, shaping strategic messaging, and creating persuasive narratives that support the pursuit of new business opportunities across our Architecture, Engineering, Construction Management, and Infrastructure markets.

This position combines strong writing and communication skills with the ability to translate complex technical concepts into clear, engaging, and client-focused content. Working closely with technical experts, project managers, business developers, and marketing professionals, you will play a critical role in helping PRIME AE win work by developing proposal narratives that clearly communicate our expertise, value, and differentiators.

This is an excellent opportunity for an experienced proposal writer, technical writer, journalist, or communications professional who enjoys collaborating with subject matter experts and transforming technical information into compelling business development content.

What You'll Do:

As a Marketing Coordinator, you will play a hands-on role in the development and writing of high-quality proposals, qualifications packages, and pursuit materials from strategy through submission. You will be responsible for crafting clear, persuasive, and client-focused proposal narratives; translating technical input into compelling content; facilitating solution development discussions; and helping maintain a robust library of marketing and proposal materials. You will serve as a key resource in communicating PRIME AE’s capabilities, project experience, technical expertise, and differentiators to prospective clients in a way that supports successful business development outcomes.

Key Responsibilities:

  • Serve as the primary writer responsible for researching, organizing, drafting, and developing proposal content, including executive summaries, technical approaches, project descriptions, management plans, pricing narratives, and other critical pursuit materials.
  • Lead the development of clear, compelling, and client-focused proposal responses by interviewing and collaborating with technical subject matter experts to capture the right strategy, solution, and differentiators.
  • Participate in proposal strategy sessions and ask insightful questions to help shape winning solutions and messaging.
  • Provide guidance to technical contributors regarding content structure, organization, and proposal best practices.
  • Write, review, edit, and refine proposal content to ensure consistency, clarity, compliance, persuasive messaging, and alignment with client requirements.
  • Participate in proposal reviews and incorporate feedback from stakeholders to strengthen proposal messaging and overall quality.
  • Develop and maintain proposal content libraries, reusable boilerplate materials, project descriptions, resumes, and technical narratives.
  • Coordinate with proposal teams and subconsultants to collect, review, and integrate technical content into final submissions.
  • Collaborate with marketing and graphics staff to develop visuals, infographics, process diagrams, and presentation materials that enhance proposal effectiveness.
  • Assist in the development of interview presentations, client presentations, and other business development materials.
  • Support thought leadership initiatives through the development of articles, white papers, blog posts, case studies, and other marketing content.
  • Continuously identify opportunities to improve proposal quality, content organization, and business development processes.

What You'll Bring:

  • Bachelor’s degree in English, Journalism, Communications, Marketing, Public Relations, Technical Writing, Business, or a related field.
  • Minimum 3 years of experience in proposal writing, technical writing, journalism, grant writing, communications, or related professional writing roles.
  • Minimum 5–7 years of experience developing proposals, qualifications packages, technical content, or business development materials within the Architecture, Engineering, Construction (AEC), Environmental, or Professional Services industries preferred.
  • Exceptional writing, editing, proofreading, and storytelling abilities.
  • Experience interviewing technical subject matter experts and translating complex information into compelling, client-focused content.
  • Strong understanding of proposal development processes and best practices.
  • Experience supporting public-sector and/or private-sector pursuits including RFQs, RFPs, SOQs, and interview presentations.
  • Advanced proficiency with Microsoft Office Suite, including Word and PowerPoint.
  • Experience with Adobe InDesign and proposal production software preferred.
  • Experience with CRM and proposal management systems such as Deltek Vantagepoint preferred.
  • Knowledge of APMP, Shipley, or similar proposal development methodologies preferred.
  • Ability to manage multiple deadlines and priorities in a fast-paced environment.
  • Strong organizational, collaboration, and communication skills.
  • Ability to work independently while contributing effectively within cross-functional proposal teams.
  • Experience leveraging AI-enabled tools, content management systems, and emerging technologies to improve proposal development efficiency and content quality is preferred.
