The Role

This position is responsible for providing day-to-day coordination and administrative support for marketing programs, campaigns, and team initiatives within the Marketing and Communications team. The role supports multiple brands, business units, and both B2B and B2C audiences by coordinating marketing requests, maintaining project trackers and timelines, supporting campaign execution, managing shared marketing inboxes, compiling standard reporting, and assisting with the routing, review, and delivery of marketing materials. Key areas of support also include CSR communications and promotional activities, swag requests and inventory management, vendor coordination, general administration, and overflow support to the broader team as priorities require.

Corporate Social Responsibility (CSR) Support

  • Support the creation and development of communications for various CSR campaigns
  • Deploy internal communications and ensure communications are clear, consistent, appropriately branded, and follow brand standards
  • Manage and support various CSR activities including promotional activities in office

Marketing Coordination and Team Support

  • Support day-to-day coordination of marketing programs, campaigns, and team initiatives across the Marketing and Communications team.
  • Manage incoming marketing requests, help clarify requirements, coordinate next steps, and follow up with the appropriate team members as needed.
  • Track open marketing requests and follow up with team members or stakeholders to ensure next steps are completed.
  • Monitor shared marketing inboxes and take appropriate action on general inquiries, including responding directly, gathering required information, or routing requests to the appropriate Marketing and Communications contact.
  • Maintain project trackers, marketing calendars, campaign timelines, shared files, templates, and team documentation.
  • Support the preparation and maintenance of campaign briefs, project summaries, workback schedules, and status updates.
  • Assist with routing marketing materials for review and approval, ensuring feedback, deadlines, and version control are managed effectively.
  • Assist with proofreading, quality checks, and basic content review to ensure marketing materials are accurate, complete, and aligned with brand standards.
  • Support campaign execution by coordinating assets, timelines, stakeholder inputs, deployment requirements, and post-campaign information gathering.
  • Support deployment preparation for email, digital, social, and internal communication initiatives, including coordinating assets, timing, approvals, and required information.
  • Compile standard marketing results and reporting, ensuring information is accurate, organized, and delivered to relevant stakeholders in a timely manner.
  • Maintain organized marketing files, campaign records, creative assets, templates, and shared team resources.
  • Provide administrative and coordination support across the team, including meeting preparation, action item follow-up, invoice tracking, general inquiries, and routine project support.
  • Provide flexible overflow support to team members during peak periods, campaign launches, or high-volume project cycles.
  • Ensure in-office marketing supplies are ordered and kept at appropriate inventory levels.

Swag Requests & Online Store

  • Process promotional item requests. Work closely with preferred vendor to ensure items meet branding guidelines.
  • Oversee pre-production, ordering, and delivery, while remaining within budget and meeting deadlines.
  • Maintain marketing inventory through tracking, and reconciling billing as required
  • Responsible for tracking inventory and notifying the Manager when items need restocking. Prepare reporting and invoicing related to the online store
  • Oversight and management of corporate gifting projects and swag requests
  • Track expenses and support budget management as it relates to events, corporate gifting, and swag
  • Adhere to budget and find efficiencies
  • Communicate with vendors to obtain information as needed and escalate issues and any required approvals to the Manager

Event Planning and Execution

  • Source, order and coordinate distribution of event related swag
  • Be required to support the events team on for onsite execution of events including working closely with venue staff, room set-up, marketing support as required. Provide on-site logistics including registration, name badges, and gift bags/giveaways
  • Coordinate swag and/or banners requirements for all sales trade shows for all brands

Marketing processes and standards

  • Comply with marketing standards and follow set processes for routine work
  • Assist with the development of marketing processes
  • Contribute ideas for improving marketing standards and processes

What You Bring To The Team

  • 1-3 years experience in marketing or communications role
  • Knowledge of professional communications and marketing principles
  • Ability to maintain confidentiality on all sensitive matters
