Our client is a Dubai-based luxury scent company with spirituality, sustainability and giving back at the heart of its brand. Founded and run by women, the company creates signature scent collections from its Dubai atelier, with a flagship presence at Dubai Mall alongside other retail locations, partner outlets, kiosks, pop-ups and private-client services.

As the brand continues to grow, the company is looking for a highly organised and proactive Marketing Coordinator to coordinate across campaigns, launches, content, creative production, events and day-to-day marketing execution.

Role Overview

The Marketing Coordinator will be responsible for keeping the marketing function organised, on schedule and moving forward.

This is an execution-focused role for someone who enjoys working across multiple projects, coordinating different people and suppliers, following up on deadlines and making sure nothing falls through the cracks.

The successful candidate will work closely with designers, photographers, content creators, agencies and other external partners to ensure campaigns, launches, content and activations are delivered on time and to the required standard.

This role requires someone who is exceptionally organised, proactive, fast-moving and detail-oriented, with the ability to manage multiple priorities in a growing, founder-led luxury environment.

Key Responsibilities

• Maintain and manage the overall marketing, campaign and content calendars.
• Coordinate timelines, deliverables and deadlines across multiple marketing activities.
• Ensure upcoming campaigns, launches, content and activations are properly planned and followed through.
• Maintain clear trackers and follow up with relevant stakeholders on outstanding actions.
• Coordinate priorities across multiple projects and ensure deadlines are consistently met.
• Support the planning and execution of marketing campaigns and product launches.
• Coordinate campaign requirements, timelines, assets and deliverables.
• Follow up with internal and external teams to ensure everything is delivered according to schedule.
• Assist with launch preparation, including creative assets, content, photography, communications and supporting materials.
• Ensure all required marketing materials are ready ahead of launch dates.
• Coordinate day-to-day content requirements across social media and other marketing channels.
• Organise creative requests and ensure briefs are clearly communicated.
• Coordinate with designers, photographers, videographers, content creators and other creative partners.
• Manage schedules for shoots, content production and creative deliverables.
• Track feedback, revisions and approvals and ensure final assets are delivered on time.
• Maintain an organised library of marketing and creative assets.
• Coordinate with external marketing agencies, freelancers, creators and suppliers.
• Manage follow-ups, timelines, deliverables and outstanding requirements.
• Coordinate logistics for photoshoots, content production and other marketing activities.
• Ensure external partners have the necessary briefs, information and assets to execute their work.
• Escalate delays or issues to the Head of Marketing when required.
• Support the marketing team in coordinating events, launches, pop-ups, activations and brand experiences.
• Assist with event-related timelines, creative requirements, suppliers and marketing materials.
• Coordinate with relevant internal teams and external suppliers to ensure marketing requirements are delivered.
• Support on-ground execution when required.
• Assist with weekly/monthly marketing reporting and performance updates.
• Help prepare presentations, marketing reports, campaign updates and internal summaries.
• Maintain organised records of campaigns, assets, suppliers, timelines and deliverables.
• Track marketing activities and ensure key actions are documented and followed up.
• Support the Head of Marketing with day-to-day administrative and coordination requirements.

Ideal Candidate

• 2–5+ years of experience in marketing coordination, marketing operations, brand coordination, content coordination or a similar role.
• Experience within luxury, fragrance, beauty, fashion, hospitality, lifestyle or premium consumer brands is preferred.
• Highly organised with excellent attention to detail.
• Strong ability to manage multiple projects, timelines and stakeholders simultaneously.
• Proactive and comfortable following up with people to get things done.
• Fast-moving, responsive and able to work to tight deadlines.
• Strong written and verbal communication skills.
• Comfortable coordinating designers, photographers, agencies, creators and suppliers.
• Good understanding of marketing campaigns, content production and social media workflows.
• Strong skills in Excel/Google Sheets, PowerPoint/Google Slides and general project/marketing tracking tools.
• Comfortable working in a fast-paced, entrepreneurial and founder-led environment.
• A doer rather than someone who waits for instructions.
• Strong sense of ownership and accountability for getting tasks completed.
