Job Description

Hilltop Holdings is looking for a Marketing Coordinator who will support the Senior Marketing Specialist by managing project workflow within the Hilltop Holdings Marketing and Communications department, ensuring projects are delivered on time and within budget. This role supports all aspects of creative services, including maintaining the project management platform, coordinating, and following through on advertising requests, and performing a variety of administrative and coordination tasks in support of marketing and communications efforts for PlainsCapital Bank, Hilltop Securities, and Hilltop Holdings. In addition, this position assists the Community Relations and Events teams with the planning and execution of internal and external corporate events.

  • Assists with the management of the Wrike project management platform by setting up new projects, creating and updating tasks, tracking approvals, and maintaining accurate project status and completion records.
  • Follows up on project and advertising requests as needed, communicating proactively with internal customers regarding project status, timelines, and change requests.
  • Supports the company's online printed material stores by maintaining current collateral offerings, monitoring inventory levels, and preparing usage and inventory reports.
  • Oversee the submission, processing, and payment of invoices, expense reports, and travel requests for the Marketing and Communications team through the Concur accounting system.
  • Collects receipts and prepares corporate credit card expense reports for Marketing and Communications team members.
  • Provides periodic support for company events, including special events such as live buffalo events; this may occasionally require work outside of normal business hours.
  • Assists the Community Relations and Events team with administrative support for internal and external corporate events, including preparation of meeting materials, coordination of corporate gifting, and execution of community relations initiatives.
  • Supports and maintains online company listings through the Yext platform and company websites.
  • Monitors online reviews across the family of companies and prepare or post responses as appropriate.
  • Perform routine content updates and maintenance for company websites.
  • Manages the vendor review process, including submitting vendor contracts through the vendor review management system and tracking approvals.
  • Orders and maintains supplies for the Marketing and Communications team to support events and ongoing office needs.
  • Assists with the preparation and maintenance of mailing lists and provides additional support for business development initiatives as needed.
  • Performs other duties as assigned.
  • Bachelor’s degree in marketing or a related field preferred
  • 1-2 years administrative assistant and/or marketing experience
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
  • Experience with Concur or comparable travel and expense management software preferred
  • Experience using Wrike or similar project management platforms preferred
  • Strong verbal and written communication skills
  • Excellent time management, organizational, and problem-solving abilities
  • Ability to effectively prioritize workload and work independently with minimal supervision
  • Demonstrated ability to maintain confidentiality and exercise sound judgment in decision-making
  • Basic understanding of marketing, advertising, or creative workflow processes preferred
  • Comfort working in a fast-paced, deadline-driven environment
  • Willingness to provide support outside of normal business hours for events or special projects
