Main Duties

  • Work closely with Marketing managers to develop various private client webinar / event concepts, planning and executing marketing programmes in line with Bank of Singapore brand and corporate guidelines, to meet business objectives within approved budget
  • For physical events:
    • Handle all events-related administrative work which includes sourcing for required event logistics, obtaining quotes etc
    • liaising with vendors, external and internal speakers, stakeholders
    • preparing all audience communication materials and digital collaterals
    • managing RSVPs pre and post event,
    • creating event listing on external corporate website
    • updating internal Intranet on events calendar
    • setting up and managing conference app
    • closing off projects and preparing post-event analysis decks,
    • and post event reporting on success factors for event.
  • Special Projects - consolidating orders / collaterals packing and dissemination / recharging
    • Annual CNY Festive Gifting
    • Concerts
  • For online events – prepare online assets for webcast platform, support marketing managers in coordinating with speakers, vendors to facilitate the webinar production, manage Q&A, extract post event guest books for data mining and tracking of event effectiveness.
  • Assist onsite at physical / hybrid client events running registration, coordinating Q&A etc.
  • Business Administration:
    • Financial Administration:
      • Process and submit invoices to Finance;
      • post event recharging of costs back to markets before closing off projects.
      • For sponsored events: Issuing invoices to external sponsors
      • Client gifting: consolidation and recharging of bank-wide client gifting orders. (concerts / festive gifting etc.)
    • Compliance and Vendor Management & Procurement Support:
      • Assist with Vendor Onboarding submissions
      • Assist with regular KYV submissions / vendor scorecard updates
    • Marketing Team Support:
      • Managing marketing collaterals and logistics inventory.
      • Keeping team up to date on new / ongoing administrative processes rolled out by the organization
      • Assist with new joiner onboarding
      • Assist to prepare high-level strategy decks for presentation to internal stakeholders
    • Bankwide Communication:
      • Festive Gifting (prepare and disseminate bankwide announcements for gifting catalogue)
    • Ensure Marketing events page on Intranet and corporate website is updated with upcoming events and post event video recordings.

Requirements

  • Degree holder
  • Excellent Microsoft Excel and PowerPoint skills.
  • Possess strong communication skills, both written and spoken
  • Strong ability to multi-task effectively, work systematically and steadily under pressure
  • Able to react steadily and promptly to constant changes across all fronts
  • Strong interpersonal skills and able to relate well with colleagues at all levels as well as handle clients with confidence and finesse
  • Must be proactive and deliver completed tasks promptly and accurately, possess good MS excel, power point and Word skills.
  • Needs to take initiative to propose ideas and concepts, ask the right type of questions to obtain required details.
  • Creative and adaptable or flexible in nature / latitude is expected.
  • Excellent team player and exhibit a high level of motivation and drive.
