Position Purpose
Manage and co-ordinate all aspects of the Operating Division’s Integrated Management Systems (IMS) in line with Transnet Policies, Procedures & Standards
Facilitate the maintenance of certification in terms of the ISO 45001, ISO 14001 and ISO 9001
Position Outputs
Co-ordinate the implementation of all the Policies and Procedure pertaining to the Integrated Management System. Establish an IMS Framework, Management Programme/ Plans to ensure effective collaborations and improvement of the IMS. Establish, implement and maintain effective processes and structures at TP level to ensure effective communication of the requirements and implementation. Establish an IMS Assurance & Monitoring Programme in line with Transnet Standards. Collaborate with Group Functions, process owners, managers and the Regional personnel to ensure alignment and implementation of the IMS. Represent TP at Group and other Forums that promote the IMS. Establish the required structures that promote the IMS. Participate in TP Committees and Forums to provide specialist support on SHEQ.
Establish a process for the development, approval, controls and distribution of IMS documents to ensure identification, retrieval and review as per the requirements of the standard. Arrange and conduct internal audits and Control Self-Assessment Reviews of the IMS. Lead the SHEQ Assurance Activities to ensure effective implementation and continual improvement. Co-ordinate and arrange the Annual IMS Management Reviews as per the Requirements. Engage with relevant Departments and Functions to ensure that IMS requirements are fulfilled. Lead and co-ordinate all external audits for the IMS. Be the first contact for TP in terms of external audits. Keep accurate and up to date records of all audit Findings for the IMS. Follow-up on the closure of findings and maintenance of evidence. Participate in investigations and research that will assist with implementation of improvements.
Establishment and maintenance of processes and procedures to suport the Quality Management System. Establish and control all quality management records as required by the standard. Establish and implement a process for non-conformance reporting, management and control. Establish and maintain a preventative and corrective action processes and standards. Conduct internal audits to assess the implementation of the quality management system. In collaboration with the Departments, establish processes to control non-conforming service and products. Provide reports to demonstrate conformance and implementation of the quality management system. Carry-out quality assurance activities for the TP in collaboration with the relevant Departments and Functions. Facilitate the establishment of quality control plans for all Departments and projects based on business and customer requirements. Facilitate the establishment of processes and standard operating procedures to ensure customer satisfaction.
Manage IMS management resources reporting to you. Provide management feedback and coaching to staff. Ensure that staff perform their duties and in a professional and respectful manner at all times. Develop an effective performance management programme for direct reports. Collaborate with other managers by providing support and guided on human resources matters pertaining to IMS.
Conduct property and site inspections to advise management on IMS. Conduct Control Self -assessment activities as per the Transnet Standards. Conduct Second Line of assurance activities in collaboration with corporate and Transnet group management. Co-ordinate and facilitate that business and SHEQ Audits are conducted as per TP Audit Plan. In consultation with management facilitate and develop action plans to address audit findings. Participate in TP and Transnet-wide projects and programmes as and when required by TP management. Provide administrative and advisory support as and when required. Provide monthly reports, information and adhoc reports as required by management and stakeholders.
Qualifications and Experience
Degree / Higher Diploma (NQF7) in Commerce, Safety, Quality. A minimum of 6 years relevant working experience in management of Integrated SHEQ Management Systems, including ISO 9001, ISO 14001 & ISO 45001 of which two years management experience is required. Valid Code B driver license. Registration with relevant professional body as an Internal Auditor. Experience working in Property, Engineering and Consulting environment will be an advantage.
