Purpose and Job Summary:

This role serves as the operational backbone of the Talent Acquisition function, ensuring recruiters, hiring managers, HR partners, candidates, and other stakeholders experience a frictionless and well-coordinated hiring process from requisition initiation through offer acceptance and transition to pre-onboarding. The Manager will own and facilitate critical Talent Acquisition workflows, with responsibility for Workday Recruiting administration and process execution, offer letter preparation, candidate and hiring-manager coordination, pre-onboarding activities, process controls, reporting, documentation, and recruiter support to include complex interview scheduling. The ideal candidate brings a strong corporate/in-house recruiting background combined with a passion for Talent Acquisition operations. They understand the full recruiting lifecycle and can anticipate what recruiters, hiring managers, candidates, HR Business Partners, and business leaders need to move hiring activity forward efficiently.

Essential Duties and Responsibilities:

Talent Acquisition Operations & Shared Services Delivery

  • Serve as a central operational resource supporting Talent Acquisition delivery across the corporate entity and subsidiary organizations.
  • Manage and facilitate day-to-day TA operational activities to ensure recruiting processes move efficiently from approved requisition through accepted offer and transition to pre-onboarding.
  • Partner closely with recruiters to identify and remove administrative or process friction that could negatively impact hiring velocity, candidate experience, or hiring-manager satisfaction.
  • Maintain consistency in recruiting practices while appropriately supporting differences in subsidiary businesses, positions, locations, compensation structures, and approval requirements.
  • Act as an operational point of escalation for recruiting workflow, process, documentation, candidate coordination, and Workday-related issues.

Workday Recruiting & Process Management

  • Serve as a subject-matter expert and power user for the Workday Recruiting ATS module.
  • Ensure requisitions, candidates, interviews, dispositions, offers, and hiring activities are accurately maintained within Workday.
  • Support recruiters and hiring managers with Workday Recruiting processes, troubleshooting, workflow navigation, and transaction completion.
  • Partner with HRIS and other HR stakeholders on Workday Recruiting enhancements, testing, configuration changes, process improvements, releases, and user adoption.

Offer Management & Execution

Own or coordinate the operational preparation, review, routing, and delivery of standard and complex offer letters. Edit offers accurately reflect approved compensation, title, reporting relationship, location, incentive eligibility, start date, employment classification, sign-on arrangements, relocation provisions, and other approved employment terms.

Facilitate complex offers involving components such as:

  • Sign-on bonuses
  • Annual or long-term incentive compensation
  • Equity or other deferred compensation
  • Relocation assistance
  • Guaranteed compensation
  • Special employment arrangements
  • Executive or senior-level provisions
  • Non-standard start dates or employment conditions
  • Subsidiary-specific terms and conditions
  • Coordinate closely with recruiters, HR Business Partners, Compensation, Legal, Payroll, HRIS, and other stakeholders when offers require non-standard terms or additional review.
  • Maintain an exceptionally high standard of accuracy, confidentiality, and attention to detail throughout the offer process.

Pre-Onboarding Facilitation

  • Coordinate the transition from accepted offer through established pre-onboarding processes.
  • Facilitate completion and tracking of required pre-employment activities, which may include background checks, employment verification, documentation, compliance requirements, and other pre-hire contingencies.
  • Partner with recruiters, HR Operations, HRIS, Payroll, hiring managers, and other stakeholders to ensure new hires are successfully transitioned from candidate to employee.
  • Monitor outstanding activities and proactively resolve issues that could jeopardize scheduled start dates.
  • Ensure all required recruiting documentation and Workday transactions are complete prior to handoff to the appropriate onboarding or HR Operations team

Education, Skills and Experience:

  • Bachelor's degree or equivalent combination of education and relevant professional experience.
  • 5+ years of Talent Acquisition, recruiting operations, corporate recruiting, HR operations, or related experience, with demonstrated understanding of the end-to-end recruiting lifecycle.

Required:

  • Prior experience working within an internal/corporate Talent Acquisition organization supporting professional and corporate hiring.
  • Strong hands-on experience with Workday Recruiting is required.
  • Demonstrated experience preparing, reviewing, and facilitating employment offers, including complex or non-standard offers.
  • Strong understanding of recruiting workflows from requisition approval through candidate selection, offer, pre-employment requirements, and onboarding handoff.
  • Exceptional attention to detail and demonstrated ability to manage sensitive, high-volume, and deadline-driven transactions with a high degree of accuracy.
  • Strong written and verbal communication skills with the ability to interact professionally with candidates, recruiters, hiring managers, HR Business Partners, executives, and cross-functional partners.
  • Strong organizational and project-management capabilities with the ability to manage multiple priorities simultaneously.
  • Demonstrated commitment to candidate experience and internal client service.
  • Ability to exercise sound judgment and maintain confidentiality when handling compensation and other sensitive employment information.

Preferred:

  • Experience working in a shared-services or Talent Acquisition Center of Excellence model supporting multiple business units, subsidiaries, or legal entities.
  • Experience within financial services, private equity, asset management, real estate investment, or another highly professional and regulated corporate environment.
  • Experience supporting executives, senior leadership, or other complex employment offers.
  • Experience partnering with Compensation, HRIS, HR Business Partners, Legal, Payroll, Compliance, and HR Operations.
