Compensation Range:

$77,216.00 - $115,824.00

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Oversees staff administration and training services within the Business Operations department of Administration and Finance. Maintains administrative operations and supervises staff to provide services for various departments within central administration. Ensures compliance with University policies, programs and operational procedures. Establishes departmental procedures, priorities, and work assignments, and establishes metrics, tracking and routine reports to ensure effective and efficient daily management of administrative functions and overall service delivery value. Coordinates routinely with Human Resources and with departmental leadership and supervisors to monitor needs, evaluate current operations, and to promote continuous process improvement and staff development.

ESSENTIAL FUNCTIONS

  • Develops and overseas staff administration operations for assigned departments. Establishes and maintains processes and procedures that ensure compliance with HR policies related to staff actions, compensation changes, timekeeping, and the triage and support of leave administration and employee relations questions in coordination with Human Resources Business Partners and according to University policies. Applies operational changes as necessary when University policies are updated, in coordination with HR and other policy owners. Manages annual and routine HR programs such as Merit, performance evaluations and other programs or audits within covered departments. Protects private and confidential data. Maintains coverage to respond to inquiries with timely and thorough responses.
  • Develops and oversees staff development and training for assigned departments. Develops and maintains annual training plans to support development of staff, workplace and leadership skills, new employee orientation, compliance with departmental and University policies and alignment with University mission, vision and values.
  • Ensures compliance with University Human Resources policies and establishes processes to support day-to-day guidance, call triage and re-direction, on topics such as performance coaching, counseling, career development, training, disability and other leaves by collaborating with HR Business Partners and other HR departments. Directs requests to appropriate University resources and subject matter experts as necessary.
  • Manages service delivery for assigned departments. Collects and interprets performance data. Develops and reports routinely on success measures, key performance indicators, opportunities and risks to ensure staff administration and training programs meet department, division and University goals and support a culture of continuous improvement.
  • Maintains consistency and quality of communications regarding staff administration and training activities, programs and change efforts, in coordination with Human Resources and ensures adoption of policies and procedures with managers and leaders to support compliance.
  • Provides timekeeping guidance and support to departments to ensure all employees are hired and paid accurately, timely and in accordance with policy. Guides managers on the biweekly, semi-monthly and monthly time approval process for all staff, faculty and/or students and ensures staff time worked and reported is accurately reflected in accordance with federal and state law.

MINIMUM EDUCATION & EXPERIENCE

  • Bachelor’s degree required
  • 4 years of experience and demonstrated success managing staff administration functions required
  • or equivalent combination of education and experience

KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrated experience developing and managing standard processes preferred
  • Strong analytical skills and proficiency with excel, tableau or similar data tracking and analysis tools preferred.
  • Excellent communication, presentation, interpersonal and facilitation skills preferred
  • High degree of emotional intelligence and ability handle difficult situations preferred
  • Ability to work independently, prioritize effectively, and manage multiple initiatives simultaneously preferred.
  • Strong problem-solving mindset with enthusiasm for Lean thinking and continuous improvement culture-building preferred.
  • Proficiency with MS Office suite, collaboration tools such as Teams, SharePoint and HR information systems such as Workday HR preferred.
  • Compliance and policy administration preferred
  • Instructional design experience or familiarity with principles of adult learning preferred
  • Experience in development and delivery of staff training programs preferred
  • Experience leading teams and setting and managing performance metrics preferred

LICENSES AND CERTIFICATIONS

  • Lean certification (Lean Practitioner, Lean Leader, Lean Expert) or Six Sigma Green Belt (IASSC or equivalent) preferred
