Program Overview – Project Management Office, Central Services
The scope of the Manager, Special Projects, includes leading the end-to-end delivery of large-scale, strategic or enterprise-wide initiatives as identified by the CEO and senior leadership team. Specifically, the Manager, Special Projects, is responsible for the development and execution of project plans, aligned to organizational objectives, that advance the strategic plan and drive significant organizational growth and/or operational effectiveness. The nature of the role includes:
  • Project Leadership & Management: Lead special projects from initiation to completion, ensuring alignment with strategic objectives; manage budget, resources and timelines to achieve desired outcomes.
  • Strategic & Project Planning: Develop project plans that define scope, objectives, timelines, and resource requirements.
  • Facilitation & Stakeholder Management: Assemble and manage cross-functional teams, fostering collaboration, communication and alignment among members.
  • Risk Assessment & Mitigation: Identify and address challenges and obstacles that arise during project execution.
  • Monitoring & Evaluation: Develop success metrics and evaluation processes, reporting on progress throughout projects.

What You Will Do
  • Leads end to end delivery of large-scale, significant or cross-functional projects, from project planning and initiation through to launch and stabilization.
  • Work collaboratively with business units and leadership team to define project objectives, milestones, and measures of success.
  • Maintain strong communication with project stakeholders, including senior leadership, to ensure alignment throughout project.
  • On occasion, validates project viability, leading discovery and developing key artifacts that demonstrate ROI and project scope, and facilitates approval or go/no-go decision-making with the senior team.
  • Identifies and escalates risks in projects and develops recommendations for path forward.
  • Prepares and facilitates regular Steering Committee meetings, providing appropriate inputs and expertise to support decision-making at the senior leadership level.
  • Documents key project decisions, including consequences, and holds senior leadership and project sponsors accountable to decisions.
  • Manages new and existing vendor outreach and relationships, including procurement processes, vendor negotiation, contracting and payment.
  • Develops and maintains key project artifacts including charters, project plans, stakeholder assessments, budgets, process maps, status updates, risk assessments, and other as required by the project.
  • On occasion, supports the development of business cases, TORs, MOUs, EOI or RFP responses, or other key documents as requested by the senior leadership team.
  • Collaborates with Finance team to prepare project budgets and manage project spend.
  • Manages project inter-dependencies, delegating tasks and work to colleagues across the organization, to ensure appropriate sequencing of different workstreams and successful advancement of the project.
  • Develops project close reports, measuring success of project, including ROI, and documenting lessons learned and best practices.
  • Responsible for maintaining the confidentiality of any information related to the organization, units, programs, staff, and clients, which the duties of the position provide access to.
  • Engages/attends in training seminars, conferences, and trade shows to upgrade skills as directed by WoodGreen to fulfill the responsibilities of the position.
  • Ensures that anti-racism objectives and community development principles of the organization are achieved.
  • Participates in regular staff, supervisory and unit meetings.
  • Carries out additional duties as identified from time to time by the VP, PMO.

What You Bring to the Team
  • A bachelor's degree in business administration, project management, or a related area.
  • 3+ years experience in business administration, special projects, project management or related roles
  • 1+ years experience managing enterprise-wide, cross-functional or otherwise significant strategic or operational initiatives

  • Strong ability to manage multiple workstreams and multi-discipline teams to achieve shared objectives.

  • Excellent facilitation, communication, and influencing skills.
  • Excellent relationship building and management skills, across all levels of an organization (from frontline staff to C-suite executives).
  • High degree of comfort with Microsoft suite of products (PPT, Excel, Teams, SharePoint, OneDrive, etc.).
  • Demonstrated ability to operate independently with sound decision-making skills.
  • Experience in a matrixed reporting structure.
  • Familiarity with PMBOK an asset.
