The Manager, Pharmacy Data Entry Operations, is responsible for the strategic and operational oversight of the Eagle and KRx Data Entry teams This position plays a vital role in unifying and harmonizing both teams, ensuring alignment in processes, culture, and performance expectations. The Manager fosters team connection and cohesion, drives retention efforts, and promotes a collaborative, consistent work environment that encourages knowledge sharing and departmental synergy.

Reporting to the Associate Director, CPS, the Manager leads efforts to streamline workflows, enhance contributor engagement, and optimize prescription data entry services. This position requires a leader with strong operational oversight and interpersonal skills, capable of maintaining high morale while achieving critical business outcomes.

Fully remote role with the ability to travel to corporate locations 10%.

Responsibilities

  • Strategic & Operational Leadership

    • Oversee day-to-day operations of the Eagle and KRx Data Entry teams, ensuring service levels, accuracy, and turnaround times are consistently met or exceeded.
    • Develop and implement aligned workflows and performance standards across both teams to create operational consistency and efficiency.
    • Identify opportunities to streamline processes, reduce duplication, and improve scalability across both data entry operations.
    • Collaborate with internal stakeholders to support launches, integrations, and ongoing optimization of pharmacy programs.
    • Leverage cross-departmental insights to strengthen data entry processes and improve overall pharmacy service delivery.

    Team Engagement & Integration

    • Serve as a central connector between the Eagle and KRx teams, actively working to build relationships, create shared goals, and celebrate joint achievements.
    • Champion team morale, contributor engagement, and retention efforts through inclusive leadership and transparent communication.
    • Foster a collaborative team culture that promotes mutual respect, shared learning, and consistent standards.
    • Encourage cross-training, peer learning, and exposure to team-specific strengths to develop well-rounded contributors.

    People Development & Leadership

    • Lead and support a team of supervisors, and team leads through performance coaching, training, and development.
    • Oversee onboarding, training, and competency development for all data entry staff; ensure contributors are fully equipped to perform in their roles.
    • Address performance trends through data, observation, and regular feedback conversations; provide ongoing support to drive growth and accountability.
    • Set clear goals and expectations, aligning team efforts with broader department and company objectives.

    Compliance & Quality Oversight

    • Maintain adherence to federal and state regulations, including HIPAA and Board of Pharmacy guidelines.
    • Ensure policies, procedures, and standard operating procedures (SOPs) are followed consistently across both teams.
    • Conduct regular audits to evaluate quality, accuracy, and compliance; implement improvements as needed to address gaps.

    Data & Performance Analytics

    • Monitor Key Performance Indicators (KPIs) to track individual and team performance.
    • Use performance data and trends to identify operational gaps, improve accuracy, and reduce turnaround time.
    • Prepare and deliver regular reports, highlighting successes, challenges, and opportunities for optimization.

    Communication & Collaboration

    • Serve as a liaison between the data entry teams and internal/external stakeholders to ensure smooth communication and alignment.
    • Maintain a proactive feedback loop with contributors, ensuring they are informed, supported, and aligned with departmental initiatives.
    • Translate strategic priorities into actionable plans for the team and ensure consistent follow-through.

Qualifications

MINIMUM JOB REQUIREMENTS

  • Bachelor's Degree and/or three (3) or more years related experience or equivalent combination of education and experience
  • Minimum five (5) years of progressive experience in pharmacy operations, preferably within a mail order, PBM, or specialty pharmacy setting.
  • Minimum three (3) years of leadership experience in a regulated, high-volume healthcare or pharmacy environment
  • Knowledge of medical terminology (including sig codes and Roman numerals), brand and generic names of medications, and general pharmacy terminology
  • Experience with HIPAA, PDMA, cGMP adverse events
  • Experience with insurance procedures, drug reimbursement issues, and claim adjudication process
  • Computer literacy to include operating systems, Microsoft Office Suite, presentation software, communication and collaboration tools, and Adobe PDF or comparable
  • Ability to read, write, speak, and understand the English language

PREFERRED EDUCATION AND EXPERIENCE

  • Registered and licensed pharmacy technician by the Indiana Board of Pharmacy in good standing
  • Nationally certified through the PTCB or another approved certifying agency
  • Bi-lingual, English and Spanish
  • Project management experience
  • Customer service evaluation and satisfaction experience

  • Strong understanding of pharmacy data entry operations and regulatory requirements
  • Proven ability to unify and motivate diverse teams across locations and programs
  • Experience leading successful change management and process improvement initiatives
  • Excellent interpersonal and team-building skills; builds trust and rapport with team members
  • Strong written and verbal communication skills; effectively communicates with team, leadership, and stakeholders
  • High attention to detail, with a focus on quality and compliance
  • Strong analytical thinking, with the ability to interpret data and drive performance through insights
  • Proficiency with Microsoft Office Suite, pharmacy software systems, and digital workflow tools
  • Ability to prioritize responsibilities, manage competing deadlines, and operate in a dynamic environment

PHYSICAL DEMANDS:

  • Work is performed in a standard office or pharmacy setting
  • Extended periods of sitting and computer use required
  • Frequent use of hands and phone for data entry and communication
  • Occasional lifting up to 25 lbs may be required

The expected pay range for this position is $75K to $85K annually. The actual compensation for the position may vary based on market differences and on factors such as skills, experience, qualifications and can vary based on location and/or work schedule. In addition to base pay, CareTria offers a comprehensive benefits package.
