Job Description

The Manager is responsible for the overall management, organization, and productivity of department operations. Basic responsibilities include performing Access Management activities, working escalated problem patient accounts, preparing payrolls, hiring and training of staff, reporting on department metrics, implementing quality assurance initiatives, and the achievement of short and long-term goals. The Manager should remain in full compliance with all departmental, institutional, and regulatory policies and procedures at all times.

  1. Responsibilities Include
    1. Work with the Revenue Cycle Director to develop short- and long-term goals for the department which align with the Finance Departments and the FMOLHS overarching principles and goals.
    2. Develop action plans and track towards successful implementation through monitored milestone achievement.
    3. Implement quality improvement initiatives geared at improving customer satisfaction and achieving aforementioned goals and principles.
    4. Spearhead internal projects through scoping, planning, testing, implementing, and monitoring activities as assigned by the Revenue Cycle Director
    5. Identify and work to resolve escalated team and department issues by collaborating with appropriate internal and external point persons to initiate and orchestrate required changes.
    6. Appropriately document work items in progress and initiate administrative change (i.e. policies and procedures)
    7. Attend internal meetings and collaborate with other managers, the Revenue Cycle Director, other department senior administrators, and outside third parties/vendors as needed; Serve on committees as appropriate.
    8. Ensure the successful management of daily team operations; Hold self and others accountable for performance.
    9. Monitor and report to the Director on team performance metrics and ensure the team is managed toward leading industry practice benchmarks by team supervisors.
    10. Conduct regular team and departmental (in conjunction with the Director) meetings for purposes of education, goal monitoring, and feedback inquiries; Submit timely minutes of meeting to the Revenue Cycle Director
    11. Establish and communicate staff performance standards (quantitative and qualitative) for each individual's job function, monitoring productivity and quality indicators to meet departmental standards; Develop staff appraisals in accordance with FMOLHS policies and productivity metrics; Submit appraisal copies to the Revenue Cycle Director and Human Resources for internal records.
    12. Counsel staff and handle disciplinary action as necessary following approval of Revenue Cycle Director as well as Human Resources to include monitoring staff productivity and/or attendance in accordance with FMOLHS guidelines
    13. Interview potential candidates for departmental vacancies in accordance with Human Resources Department policies.
    14. Assist in development of department budgets. Analyze costs, develop programs to assure compliance with budgetary constraints and provide justifications for budget variances.
    15. Provide leadership in problem identification and resolution and coordinate resolution between departments as needed. Promote and establish an atmosphere of continued improvement throughout the department by motivating, coaching and staff development and through evaluation, development and/or revision of department policies and procedures.
    16. Remain current on leading industry practices, update fellow managers and/or staff of findings.
    17. Perform other duties as assigned by the Director and adhere to compliance of all departmental, institutional, and regulatory policies.
  2. Confidentiality in Reference to
    1. Regular exposure to patient demographic, diagnostic, and billing information
    2. Exposure to physician information including physician numbers assigned by governmental agencies and insurance carriers.
    3. FMOLHS contract information with third party payors
    4. FMOLHS financial information
    5. Staff records and reviews, including salary information.
  3. Authority for Decision Making
    1. Delegation and prioritization of staff job functions
    2. Authorize staff vacation time and coverage needs.
    3. Authorize adjustments and refunds on accounts, as appropriate.
    4. Resolve escalated account issues related to pre-registration, insurance verification, financial counseling, and referral & authorization capture.
    5. Supervision Exercised
    6. Responsible for direct supervision of permanent and temporary staff
    7. Responsible for interviewing, hiring, counseling, and disciplining employees in accordance with FMOLHS policy & Revenue Cycle Director approval.
    8. Conducts annual appraisals for staff members in accordance with Access Management Departmental and FMOLHS guidelines.
  4. Other Duties as Assigned
    1. Consistently performs 12 organizational Service Standards focused on Values, Service and Quality.
  • Bachelor's Degree
  • + 3 years supervisory experience OR 4 years professional-level experience/6 years paraprofessional experience (in lieu of degree)
  • + 3 years supervisory experience OR Master's Degree + 2 years supervisory experience.
  • Supervisory experience must be in patient registration, large physician group practice, financial counseling or patient accounting in a healthcare setting.
