Job Description

The Office Manager is responsible for overseeing the day-to-day operations of Holtec Taiwan, ensuring efficient office administration, financial and cash management, project documentation control, translation oversight, and contract administration support.

Location: Taipei, Taiwan

1. Office Operations Management

  • Manage and oversee daily operations of the Holtec Taiwan office.
  • Maintain office facilities, equipment, supplies, and service contracts.
  • Coordinate administrative support functions, including travel arrangements, meeting logistics, visitor coordination, and event management.
  • Develop and implement office policies and procedures to improve efficiency and compliance.
  • Serve as the local point of contact for external service providers, landlords, banks, and government agencies.
  • Ensure compliance with company policies and local regulatory requirements.

2. Cash and Bank Account Management

  • Manage company cash flow and monitor operating expenses.
  • Administer local bank accounts, including payment processing, wire transfers, and account reconciliations.
  • Coordinate with corporate finance and accounting departments regarding funding requests, expense reporting, and financial records.
  • Track office operating budgets and prepare periodic financial reports.
  • Ensure compliance with internal financial controls and approval processes.
  • Support tax filings, statutory reporting, and audits in coordination with external accountants and corporate finance personnel.

3. Project Documentation Management

  • Establish and maintain document control systems for the Chinshan (N1) and Kuosheng (N2) SNF Dry Storage Projects.
  • Manage receipt, distribution, storage, retrieval, and archiving of project documents.
  • Maintain document registers, correspondence logs, submittal records, and project databases.
  • Ensure project documentation is current, complete, and properly controlled in accordance with company and customer requirements.
  • Support preparation and submission of technical, commercial, and regulatory project documentation.

4. Translation and Localization Oversight

  • Coordinate and oversee translation of technical, contractual, legal, and business documents between English and Traditional Chinese.
  • Review translated documents for completeness, consistency, accuracy, and proper technical terminology.
  • Maintain standardized bilingual terminology and document templates.
  • Coordinate external translation resources when required.
  • Support communications between Holtec headquarters, project teams, customers, and government agencies.

5. Contract Administration and Management

  • Support the administration and execution of customer contracts, subcontracts, and service agreements.
  • Maintain contract records, amendments, correspondence, and compliance documentation.
  • Coordinate with legal, commercial, and project teams regarding contractual obligations and potential changes.
  • Assist in contract reviews, risk assessments, and claim documentation.
  • Monitor contract compliance and identify potential commercial risks.

6. Project and Corporate Coordination

  • Coordinate meetings and communications among local and international project stakeholders.
  • Prepare management reports, presentations, meeting minutes, and executive summaries.
  • Support project managers with administrative and operational requirements.
  • Assist in business development activities, proposal preparation, and corporate initiatives as assigned.
  • Facilitate communication between Holtec Taiwan and Holtec headquarters.
