Manager of Patient Financial Services | Summit Healthcare Mgmt | Nashville, Tennessee

About the Job:

PURPOSE STATEMENT:

The Manager-Patient Financial Services (PFS) is responsible for leadership and supervision of the day-to-day operations involving billing, third party/patient collections follow-up and ensuring the overall accuracy of the accounts receivable (AR) balances for each facility. This position will work independently to resolve complex payer and operational issues to assist in the overall improvement of the daily operations necessary for a successful Centralized Business Office specializing in behavioral healthcare servicing multiple facilities.

Roles and Responsibilities:

ESSENTIAL FUNCTIONS:

Team Leadership, Staffing & Department Operations

• Supervises the facility-based business office representative team of highly engaged members through hiring, orienting, performance assessment and management, motivating, training, scheduling, and coaching to meet department goals and ensure effective and efficient department operation at each facility.
• Identifies and prioritizes issues of importance, including those priority issues as set forth by leadership. Collaborates with department leaders and corporate executive leaders, as needed.
• Communicates instructions, expectations, and timelines clearly and concisely.
• Manages scheduling to maintain productivity levels, curtailing overtime and/or excessive staff work hours.
• Assigns tasks to staff through patient accounting/billing software as needed.

Staff Accountability, Quality & Safety

• Maintains accountability expectations for self and staff in all areas of performance.
• Engages staff in quality and safety basics to ensure sustained, measurable compliance.
• Identifies staff educational needs and ensures they are addressed and attended by staff.
• Holds staff accountable for non-compliance and safety concerns, as well as attendance, following policies, behavior, and adherence to the Code of Conduct.

Insurance Verification, Financial Counseling & Patient Support

• Ensures all insurance verifications and financial counseling are completed with accuracy and detail in a timely manner.
• Develops/refines patient financial educational materials, financial counseling and insurance forms.
• Aids with funding sources and reviewing of financial assistance applications.
• Responds timely to requests from insurance carriers, family members, and patients regarding account balance issues.

Patient Accounts, Collections & Financial Assistance

• Ensures self-pay collections follow-up is performed and transfers accounts to ledgers when needed.
• Ensures both upfront and charity logs are kept up to date.
• Acts as liaison between collection agencies for placements, payment reports, and day-to-day questions.
• Reviews all refund requests and ensures they are processed in a timely manner.
• Advises Business Office Director on a timely basis of potential problem accounts.

Payer Relations, Billing & Revenue Cycle

• Helps maintain and negotiate any single case agreements needed for non-contracted payors.
• Acts as administrator for payer website/login access.
• Assists in the Provider Enrollment, Re-enrollment, and Credentialing process.
• Uploads all facility statements each month.
• Assists with A/R Month End close process.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

• High school diploma or GED required.
• At least three years of computerized medical billing experience, with a minimum of one year experience in behavioral healthcare required.
• Advanced knowledge of UB04 and HCFA1500 forms, CPT and ICD-10 coding
• Working knowledge of Medicare/Medicaid guidelines preferred.

WORK LOCATION:

This position is onsite at the Franklin Service and Support Center and is not a remote position.

SUPERVISORY REQUIREMENTS:

Two or more years of supervision/management experience in healthcare setting required.
