As the Manager of Executive Operations, you’ll work alongside the CEO to strengthen alignment, improve follow-through, coordinate priorities, and support the effectiveness of the Executive and Leadership teams. Your work will directly contribute to ALCO’s ability to grow, to support employees, and to serve its residents.

ABOUT THE ROLE

The Manager of Executive Operations serves as a critical partner to the CEO, helping to translate vision into action, coordinating leadership workflows, and ensuring that priorities move forward thoughtfully and efficiently, and in a manner that includes the broader ALCO community.

This is a strategic, operational, and highly relational position that requires judgment, discretion, independent decision-making, and the ability to represent the CEO professionally with limited oversight.

You will work across nearly every ALCO function, collaborating with senior leaders, managing confidential information, and supporting change management, strategic execution, and organizational communication.

The ideal candidate combines proactive execution, a calm presence, exceptional written communication skills, and a deep commitment to trust-building and confidentiality.



WHAT YOU’LL DO

Cross-Functional Coordination & Executive Facilitation

  • Manage communication and collaboration across departments to ensure clarity on priorities and next steps.

  • Facilitate meetings and joint projects across teams, ensuring clarity on next steps and follow-through on commitments.

  • Maintain alignment between corporate functions and the CEO’s directives.

Project & Program Management

  • Organize and drive key initiatives in accordance with the CEO’s direction and organizational needs, including research and program design

  • Plan, track, and monitor progress on strategic projects across departments.

  • Identify risks or bottlenecks early and escalate appropriately.

  • Maintain visibility on deadlines, dependencies, and executive deliverables.

  • Proactively solve problems, and where appropriate, escalate challenges or delays promptly to ensure smooth coordination among stakeholders.

Organizational Development & Communication

  • Support organizational development work, including change management, and executive planning.

  • Draft, edit, and refine communications, ensuring tone, clarity, and alignment with ALCO’s values.

  • Contribute to process improvement efforts by documenting and reinforcing new practices and systems as guided by leadership.

  • Prepare executive summaries, memos, agendas, and materials for leadership meetings.

  • Draft and execute external corporate communication, including executive statements, community updates, and coordination with public relations or marketing teams to align messaging with company values and strategy.

  • Maintain and implement communication plans for strategy rollouts, announcements, and internal updates.

Executive Support & Confidential Partnership

  • Serve as a trusted extension of the CEO, often representing her perspective in communications and decisions.

  • Manage the CEO’s time, schedule, and prioritization to ensure alignment with strategic goals.

  • Handle sensitive information with exceptional discretion and maturity.

  • Provide background research, gather context, and prepare briefing documents for executive engagements.

Special Projects & Leadership Events

  • Coordinate executive retreats, leadership meetings, and strategic planning sessions.

  • Support cross-departmental initiatives that require executive attention or high-level pacing.

  • Bring structure and follow-through to new opportunities as they emerge.

  • Perform additional responsibilities and ad-hoc projects that advance ALCO’s mission and executive team effectiveness.

WHAT YOU BRING

Minimum Requirements

  • Bachelor's degree in business, Management, Organizational Leadership, or related field.

  • 5+ years of relevant experience in roles requiring planning, coordination, project management, and operational execution.

  • Experience leading or supporting teams—formal or informal leadership experience is highly valued.

Skills & Competencies

  • Exceptional written communication (grammar, tone, clarity)—a critical requirement.

  • Strong organizational ability with consistent attention to detail and follow-through.

  • High emotional intelligence with the ability to build trust quickly.

  • Experience managing multiple priorities independently and efficiently.

  • Ability to work with limited supervision while staying aligned with executive expectations.

  • Professional maturity and discretion in handling sensitive or confidential matters.

  • Ability to represent the CEO’s voice, tone, and intent with clarity and care.

  • Calm, steady presence—able to bring grounded energy to fast-moving environments.

  • Proficiency with Microsoft 365 and project management tools (Smartsheet, Asana, etc.).

  • A strong, trusting working relationship with the CEO and the senior leadership team.

  • Executive priorities are well-organized, documented, and moving forward with clear pacing.

  • Communications—internal and external—are timely, polished, and aligned with ALCO’s mission and values.

  • Leadership team members feel more connected, informed, and supported.

  • The CEO experiences reduced operational load and increased strategic bandwidth.

  • The Manager is independently executing assignments, anticipating needs, and proactively solving problems.

COMPENSATION & TIMELINE


  • Salary Range: $75,000 – $85,000, commensurate with experience.

  • Timeline: Posting in Q4 2025. Target hire late January – February 2026 to allow for holiday schedule and onboarding before key executive initiatives begin.

INTERVIEW PROCESS

1. Initial Resume Review, Assessment & Screening Calls (HR)

Assessments:

Screening Call:

Focus on qualifications, communication presence, and values of alignment.

2. First-Round Interview (Hiring Manager + HR Representative)

Focus: Alignment with ALCO’s mission, communication skills, follow-through, and ability to work independently while supporting executive leadership.

3. Performance Task

A short, role-relevant assignment evaluating:

  • Prioritization

  • Written communication

  • Organization and follow-through

  • Ability to anticipate needs and structure information

4. Final Interview (Senior Leadership Panel)

Panel of senior leaders.

Focus: Collaboration, relationship-building, executive presence, and ability to support cross-departmental initiatives. (CEO may or may not attend this stage.)
