Job Description

Job Title: IGHER Manager

Department: Institute of Global Health Equity Research (IGHER)

Location: University of Global Health Equity (UGHE), Kigali office, Occasional travel to Butaro campus

Reports to: Director, IGHER

Duration of the contract Two years with possible extension

The IGHER Manager will play a central administrative and leadership role in coordinating and managing the Institute of Global Health Equity Research's administrative, operational, and research support functions The position requires a highly organized and proactive professional who can oversee the institute's daily operations, annual planning, monitoring and evaluation, budget utilization, procurement, institutional communications, and stakeholder engagement, ensuring smooth day-to-day operationsThe manager will serve as a key liaison between the Director, research teams, partners, and donors, and will represent the Director in delegated responsibilities.

Key Responsibilities

1. Research Coordination and Support

  • Coordinate and oversee the administrative functions of major research projects and activities at the IGHER
  • Manage and lead the Bonnie and Andrew Weiss research seed grant initiative
  • Support the administrative functions of the grants provided by the CRI foundation
  • Support researchers in planning, implementation, and reporting of research activities

2. Grant Management and Monitoring

  • Monitor all active grants and projects within IGHER with the guidance and supervision of the grant manger, ensuring compliance with timelines, deliverables, and donor requirements
  • Prepare the regular IGHER reports to the UGHE leadership, reports to the CRI foundation, and other major partners of the IGHER as determined by the director of the IGHER.
  • Coordinate grant reporting processes, including technical and financial reporting, in collaboration with relevant units
  • Maintain a tracking system for all grants and proposals relevant to IGHER

3. Reporting and Strategic Communication

  • Lead the writing of major proposals, regular reports, concept notes, and institutional updates
  • Prepare high-quality reports, briefs, and presentations for the Director and external stakeholders
  • Ensure timely and accurate communication of institute achievements and progress
  • Oversee the maintenance and regular updating of the IGHER website
  • Lead the development and dissemination of the quarterly newsletter
  • Ensure visibility of IGHER’s work through coordinated communication efforts

4. Institutional Events and Stakeholder Engagement

  • Lead the planning and organization of institutional workshops, conferences, and high-level meetings
  • Coordinate engagements with donors, government institutions, and partner organizations
  • Support preparation of materials and logistics for strategic meetings

6. Administrative Leadership

  • Lead the IGHER annual planning, budgeting and reporting functions
  • Supervise and manage administrative assistants within the institute
  • Oversee all administrative operations across the IGHER, including procurement, recruitment of staff and faculty, M and E and reporting
  • Streamline administrative processes and improve operational workflows

7. Representation and Leadership Support

  • Represent the Director in meetings, workshops, and institutional engagements when delegated
  • Provide strategic and operational support to the Director in managing institute priorities
  • Take on other responsibilities and tasks at UGHE as assigned by UGHE leadership

Required Qualifications

  • Master's degree in public health, Health Administration, Business Administration, or a related field
  • PhD is an added advantage
  • Additional training or certification in project management, research administration, or leadership is an advantage

Required Experience

  • Minimum of 3-5 years of relevant professional experience, preferably in research institutions, universities, NGOs, or international organizations
  • Demonstrated experience in research coordination and grant management
  • Proven experience in report writing and presentation development for senior leadership or donors
  • Experience organizing high-level meetings, workshops, and stakeholder engagements
  • Experience supervising teams and managing administrative operations

Skills and Competencies

  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong interpersonal and stakeholder engagement skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and digital communication tools
  • Experience managing websites and newsletters is an added advantage
  • High level of professionalism, discretion, and leadership ability

Preferred Attributes

  • Experience working in global health, research, or academic environments
  • Familiarity with donor-funded projects and reporting requirements
  • Strong problem-solving skills and ability to work independently
  • Commitment to health equity and institutional mission
