Job Description

RESPONSIBILITIES & TASKS:

Responsibilities will include but are not limited to:

  • Fully understand the HR systems’ structure, architecture and infrastructure, provide and lead deep technical solutioning at all-time.
  • Manage the day-to-day operations of the HRIS and ensure all defined tasks are executed on-time and completely. Review and resolve HRIS related issues with root cause analysis if required.
  • Primary liaison person between the HR departments, IM, ICT, ISMS, and vendors to troubleshoot issues and automate processes. Collaborate with related technical teams to coordinate application management support and interface matters.
  • Provide HRIS support including, but not limited to, researching and resolving HRIS problems, unexpected results or process / workflow flaws. Recommend and execute permanent solutions or alternate solutions to meet requirements.
  • Proactively review existing HR processes / workflow and data management, so to identify improvement initiatives that promote regional standardization with aligning to business needs.
  • Collect and analyse business requirements and translate them into system requirements. Design, develop and deploy improved HR processes / workflows and data management to enhance optimal efficiency and effectiveness of processes / workflows and data management.
  • Identify optimization of key HR processes & encouraging subsidiaries on increasing their utilization rate on HR applications through driving change management and / or regional direction.
  • Advise management on organizational policy and develop governance process related to change request to uphold the regional process standardization.
  • Work with vendors to consistently assess new features of the HR systems, and present business case to management for adaption of such new features.
  • Work closely with vendors on system upgrades or patches and ensure no interruptions to business activities upon deployment into production. Work with vendors to resolve post deployment issues and ensure stakeholders are properly communicated of the impact. Perform as internal Test Lead for system validation and UAT to ensure systems meet requirements and data security is not compromised.
  • Own HRIS employee data management and be responsible for data integrity.
  • Work with Compliance team to ensure HRIS and data compliance with data privacy laws in countries.
  • Govern, drive data consistency and integrity in HR systems by running queries, taking initiative to liaise with subsidiaries for data improvement and correction. Conduct regular data audits to ensure HR data is accurate, secure, and compliant with local data protection regulations.
  • Provide data and information to support strategic, data-driven HR decisions.
  • Design and develop user manual and conduct training to user groups to ensure proper use of HR Systems and their processes.
  • Ensure accurate and up-to-date documentation of HRIS data & processes and its related processes.
  • Lead and drive HRIS meetings / discussions / workshops with subsidiaries to align direction, strategic, planning, and action items as and when required.
  • Lead and drive exercise / project / discussion for ISMS. Ensure ISMS requirements and concerns are being addressed
  • Lead and drive vendor management for HRIS vendors, including but not limited to new contract initiation, contract renewal, scope change, licenses, SLA, performance, and dispute.
  • Actively participate as core team member of regional HR projects. Lead, drive and manage the delivery of each HRIS action item through a structured project management strategy and tracking.
  • Support change management and data conversion activities.
  • Any other tasks / activities that requested by the management / leadership team.

SKILLS & REQUIREMENTS

  • Bachelor degree in Business or Information Systems.
  • 5 to 10 years of Project Management and/or HR Generalist and experience working with Human Resources Information System.
  • Experience in project manage multiple projects that effect people, technology and processes.
  • Strong capacity to plan, organise and act on deliverables.
  • Strong problem solving, planning and execution skills. Including a desire to roll up sleeves to prioritise work and meet deadlines. Able to work effectively in a deadline driven environment.
  • Strong customer relationship skills and highly focused on quality and building effective relationships with stakeholders.
  • Ability to influence peers and colleagues and effective communication skills – written and verbal, at all levels in the organisation.
  • A good level of analytical skills with ability to breakdown complex issues into logical parts.
  • Able to lead a team of professionals, train employees and deal with any employee concerns that arises.
