Job Posting Details

The School of Medicine is seeking a high-calibre individual who excels in a dynamic, fast-paced, and multi-tasking environment to support recruitment, appointment, onboarding, and ongoing administration of faculty members as a Manager (Faculty Affairs), ensuring effective faculty operations and compliance with university procedures.

Key Responsibilities

  • Manage the full spectrum of faculty affairs functions, including faculty recruitment support, appointment processing, onboarding, contract administration, and related documentation
  • Coordinate with internal stakeholders on faculty establishment, manpower planning, workload allocation, and staff movement matters, ensuring timely and accurate administrative support
  • Provide secretariat and administrative support for faculty-related committees, meetings, and approval exercises, including preparation of papers, records, and follow-up actions
  • Maintain and update faculty records, manage key databases and reports, and ensure the accuracy, confidentiality, and integrity of staff information
  • Liaise with relevant University offices on matters relating to faculty appointments, renewals, promotions, performance review, and other human resources procedures
  • Support faculty orientation, staff engagement initiatives, and communication on policies, procedures, and administrative requirements
  • Handle ad hoc faculty affairs projects and perform other duties as assigned in support of the School’s academic and administrative operations
  • Supervise and mentor junior staff where appropriate, foster a collaborative and innovative work environment in pursuit of achieving the University’s goals
  • Perform any other duties as assigned

Entry Requirements

  • A recognized Bachelor’s degree in Business Administration, Public Administration, Human Resources Management, or a related discipline
  • A minimum of 5 years relevant post-qualification work experience in human resources, academic administration, or a related role in a tertiary institution or sizeable organization. Ideal applicants should have good knowledge and experience of faculty appointment processes, HR practices, and administrative procedures in higher education
  • Strong team player with a proactive attitude and a sense of ownership and accountability
  • Excellent problem-solving, interpersonal, communication, and analytical skills are essential
  • A high level of attention to detail, the ability to multitask, work independently and collaborate effectively, with the ability to manage multiple priorities and deadlines are required
  • Proficiency in both written and spoken English and Chinese, including Cantonese and Putonghua, is necessary
  • Relevant computer application and IT skills are expected

Work outside normal office hours, including evenings, weekends, and public holidays, may occasionally be required.

Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of a 2-year contract. Renewable subject to good performance and mutual agreement.
