Job Description
The Opportunity
Every high-performing leadership team depends on a strong operator behind the scenes — someone who keeps things organized, moves work forward, and helps the team execute well. In Pfizer's global Vaccines organization, this is that role.
As Manager, Executive Operations, you will run the day-to-day operations of the Office of the Chief Vaccines Officer (CVO). We are looking for an ambitious, intellectually curious, and highly organized professional who thrives in ambiguity, sees the strategic picture across a complex global matrix, and operates seamlessly at the intersection of strategy and execution. You won't just keep things running; you will look for ways to make them run better.
This is a high-visibility, high-leverage position. You will act as a trusted operational partner for the CVO and the Vaccines Chief of Staff (CoS). You will frequently prepare the groundwork for critical executive engagements, supporting complex cross-functional workstreams with guidance from the Chief of Staff, exercising sound judgment on day-to-day sequencing, and flagging trade-offs as they arise. You take initiative, ask good questions, and constructively challenge assumptions with diplomacy, establishing the operational systems that enable a complex global Vaccines organization to deliver on a life-saving health mission.
The Working Model
The CVO Office operates as a small, high-trust, collaborative team. Reporting directly to the Chief of Staff, you will work closely together on the daily operations of the office.
The Chief of Staff helps translate the CVO's strategic priorities into execution, advises the CVO and the Vaccines Leadership Team, and drives alignment across Vaccines R&D and its key partners. You will take direction from the Chief of Staff on scope and sequencing while owning the execution end-to-end.
As you build a track record of high-quality delivery, your scope and responsibility will grow. Over time, you will be expected to anticipate needs, take initiative within your remit, and drive outcomes — always keeping the Chief of Staff informed and aligned.
ROLE RESPONSIBILITIES
What You’ll Actually Do
You will design, strengthen, and run the daily operational infrastructure of the CVO office. Your focus will be split between driving high-impact cross-functional initiatives and owning the essential, day-to-day mechanics that keep the leadership team highly effective.
- Strategic Operations & Meeting Discipline (40%)
- Orchestrate Executive Forums: Coordinate the operational planning, sequencing, and execution of core leadership forums, strategy meetings, and CVO engagements. Support agenda design and topic sequencing in partnership with the Chief of Staff, based on shifting organizational priorities.
- Drive Execution & Follow-Through: Serve as the driver of meeting discipline. Capture critical decisions and action items, assign clear ownership, and follow up systematically and with high tact across senior stakeholders to ensure momentum is maintained.
- Administrative Network Alignment: Act as the operational bridge to the Executive and Administrative Assistant network across the Vaccines organization. Ensure administrative priorities, calendar management, and logistical efforts are strategically aligned with the CoS and CVO’s core objectives.
- Core Operational & Business Management (25%)
- Manage Recognition & Reward Programs: Oversee the operational coordination and end-to-end management of colleague recognition and reward programs across the Vaccines organization, supporting individuals at all levels and ensuring high-impact, well-aligned execution.
- Systems and Tracking: Build lightweight dashboards, trackers, and document structures that keep the CVO office highly organized, responsive, and data-informed.
- Enterprise & Cross-Functional Navigation (20%)
- Bridge the R&D Matrix: Build trusted, collaborative partnerships across a highly matrixed environment. You will navigate both above the Vaccines organization (liaising with the broader Pfizer R&D enterprise) and within it (partnering closely with internal Vaccines R&D groups, Leadership Team functions, and Site Affairs & Business Operations).
- Partner with Enabling Functions: Serve as a day-to-day operational contact for key partner and enabling functions sitting outside Vaccines, including global PX (People Experience),Global Workplace Experience (GWE), Digital, and Legal, ensuring seamless cross-functional alignment.
- Executive Synthesis, Communications & Digital Fluency (15%)
- Draft Executive Communications: Synthesize complex scientific, organizational, and operational information into clear, decisive leadership briefings, presentations, and memos with impeccable attention to detail.
- Build Digital Infrastructure: Maintain and optimize modern digital platforms (SharePoint Teams hubs, and shared repositories) to support seamless information flow across the organization.
- AI & Automation Integration: Treat modern, approved digital productivity tools and AI as a core operating advantage. Use these tools in your day-to-day workflow to speed up synthesis, draft communications, and scale workflows, and establish templates to help the broader team work smarter.
The Mindset: Who Thrives Here
- You are an ambitious, execution-oriented professional who takes genuine pride in making a complex organization run exceptionally well. You understand that operational excellence is what makes strategy real, and that no task is too small if it contributes to the team's collective success. You are:
- A Doer: You own execution end-to-end, from planning through the finest details. You see what needs to be done, often before being asked, and go after it, owning the execution entirely while keeping all key stakeholders informed and brought along the journey.
- Discreet: You operate with the highest level of integrity, confidentiality, and professional maturity. You will routinely handle sensitive organizational, personnel, and strategic information that requires absolute discretion and a highly confidential approach.
- Comfortable in Ambiguity: You can establish order in unstructured situations and build the structures others rely on.
- Intellectually Curious: You synthesize information quickly from disparate sources, ask the right questions, and constructively challenge existing processes to find smarter ways of working.
- A Trusted Right Hand: You anticipate what is needed three steps ahead. You are looking for a role where you can roll your sleeves up, learn the business from the inside out, and partner with leadership to drive real impact.
- Digitally Fluent: You treat modern digital collaboration and approved AI productivity tools as a helpful partner in your day-to-day work, using them to eliminate manual overhead and continuously improve your speed and quality of output.
What Success Looks Like in Your First Year
We believe in setting clear targets so you can align your efforts and demonstrate your impact. Here is what we expect you to achieve:
- By Day 90: You have built trusted relationships with the Vaccines Leadership Team, the CoS, and the administrative network. You have assumed operational ownership of the executive meeting cadence, meeting discipline, and action-tracking systems. You are proficient in managing the cost-center budgets and PO processes.
- By Day 180: You are trusted to represent the CVO office in standard operational forums under the guidance of the Chief of Staff. You have successfully streamlined at least one major cross-functional workflow (e.g., between Vaccines and global enabling partners like GWE, PX, etc.) and have established a clear process for tracking executive follow-ups.
- By Year 1: You have established a high-performing operating rhythm for the CVO office. You are recognized by leaders within and outside of Vaccines as a highly capable, collaborative, and reliable partner. You have successfully designed and executed multiple colleague recognition initiatives, and the CVO office is running with measurable speed and clarity because of the systems you built.
