Job Description

1) GENERAL DESCRIPTION

Responsible for planning, coordinating, and executing corporate events, stakeholder engagement initiatives, and special projects that support KPJ Healthcare Berhad's strategic objectives, brand positioning, and organisational priorities.

The role works closely with the Senior Manager, Events & Special Projects in delivering corporate-level events, healthcare campaigns, leadership engagements, CSR programmes, hospital launches, and cross-functional projects. The incumbent serves as a key coordinator among internal departments, KPJ hospitals, vendors, and external stakeholders to ensure projects and events are delivered efficiently, professionally, and in accordance with KPJ Healthcare's standards and corporate values. The position requires strong project coordination, event management, stakeholder engagement, communication, and administrative capabilities, with the ability to manage multiple initiatives simultaneously while maintaining quality and operational excellence.

2) JOB DESCRIPTION

Event Planning & Execution

  • Plan, coordinate, and execute corporate events and programs across the KPJ Healthcare Group.
  • Support the implementation of:
  • Corporate conferences and forums
  • Town Hall sessions
  • Leadership and management meetings
  • Corporate launches and milestone celebrations
  • Recognition and appreciation programmes
  • CSR and sustainability initiatives
  • Healthcare awareness campaigns
  • Official visits and protocol functions
  • Develop event plans, schedules, run sheets, and event logistics.
  • Coordinate venue arrangements, audiovisual requirements, guest management, transportation, accommodation, and catering services.
  • Ensure events are delivered successfully within approved budgets and timelines.
  • Conduct post-event evaluations and prepare event performance reports.

Special Projects Coordination

  • Coordinate and manage assigned special projects from planning through implementation.
  • Support project planning, scheduling, budgeting, monitoring, and reporting activities.
  • Track project progress and ensure timely completion of key deliverables.
  • Coordinate with project teams and stakeholders to achieve project objectives.
  • Identify project risks and escalate issues to the Senior Manager where necessary.
  • Maintain project documentation, records, and reporting requirements.

Stakeholder Engagement & Coordination

  • Coordinate engagement activities with internal and external stakeholders.
  • Build positive working relationships with:
  • HQ Groups
  • Hospital management teams
  • Business partners
  • Vendors and consultants
  • Government agencies and industry organizations
  • Facilitate meetings and discussions related to events and projects.
  • Ensure timely communication and follow-up on action items.

Vendor & Contract Management

  • Assist in sourcing, evaluating, and managing vendors, suppliers, and service providers.
  • Coordinate procurement requirements in accordance with company policies.
  • Monitor vendor performance to ensure service quality and cost effectiveness.
  • Verify deliverables and ensure compliance with contractual requirements.

Budget Administration

  • Assist in the preparation and monitoring of events and project budgets.
  • Track expenditures and ensure optimal utilization of resources.
  • Process quotations, purchase requisitions, invoices, and payment-related documentation.
  • Support budget reporting and financial reconciliation activities.

Reporting & Documentation

  • Prepare management reports, event summaries, project updates, and presentations.
  • Monitor KPIs and project milestones.
  • Maintain proper filing and documentation for all event and project activities.
  • Support audits, reviews, and compliance requirements related to events and projects.

Continuous Improvement

  • Recommend improvements to event management practices, processes, and project implementation methodologies.
  • Keep abreast of industry trends, emerging technologies, and best practices in event and project management.
  • Contribute ideas to enhance stakeholder engagement and operational effectiveness.

Other Responsibilities

  • Undertake any additional duties, assignments, and responsibilities as directed by Management.
  • Support organizational transformation initiatives and corporate strategic priorities.

3) JOB REQUIREMENT

  • Bachelor's Degree in Business Administration/ Communications / Public Relations / Marketing / Event Management / Healthcare Management / Project Management or related disciplines.
  • Master's Degree or MBA is an added advantage.
  • Master's Degree in Business Administration (MBA), Corporate Communications, Marketing, Healthcare Management, Project Management, or related field.
  • Minimum 5-8 years of relevant working experience in event management, project management, corporate communications, marketing, stakeholder engagement, or related functions.
  • Experience managing corporate events, campaigns, conferences, and projects within a large organization.
  • Experience in healthcare, hospitality, corporate services, GLCs, or publicly listed companies is an advantage.
