Responsibilities
Maintain the scope of reconciliation services, including data sourcing and mapping between Oaktree systems and external parties.
Create, maintain, and improve matching rules to optimize matching rates and reduce manual matching requirements.
Design and optimize reconciliation break workflows, including research methods, prioritization frameworks, standardized commentary and root cause categorizations, assignment and escalation protocols, and strategies for addressing nonresponsive parties.
Conduct daily review of reconciliation breaks to identify high-risk items requiring special handling and communication to Oaktree teams for resolution and/or awareness.
Perform detailed break research by analyzing loan notices, trading activity, corporate action documentation, security master information, fund accounting activity, and other relevant data sources to identify root causes and determine the appropriate steps for resolution.
Address escalated items and determine if further escalation is required by other operational and fund finance teams.
Ensure all processes, procedures, and deliverables meet documented audit requirements.
Process Improvement, Reporting & Analytics
Provide management reporting on volumes, match rates, resolution rates, and ageing, with analysis of trends and anomalies.
Perform root cause analysis to identify process improvement opportunities and partner with internal and external teams to drive reductions in break rates and resolution times.
Continuously analyze process quality and drive improvements leveraging AI and automation tools to optimize workflows and increase operational efficiency.
Prepare detailed reconciliation reports for Fund Finance to support monthly and quarterly close activities.
Stakeholder & External Party Engagement
Collaborate with teams across the Oaktree enterprise to improve processes, reduce exception rates, and minimize break resolution time.
Engage with external parties including Agent Banks, Transfer Agents, Custodians, Administrators, and Brokers to ensure they are responsive and taking the appropriate action to resolve breaks
Identify external parties that generate high break rates and work with them to address challenge areas.
Qualifications
9+ years of relevant experience working in an operations capacity at an asset management company, investment bank, or
other financial services company.
5+ years of experience in private credit investment operations and middle-office support including Bank loan syndication and
corporate actions
Strong knowledge of general finance, process documentation, and cross functional operations
Knowledge on Geneva and reconciliation platforms such as DUCO is preferable
Solid analytical skills and ability to understand and resolve complex problems
Proficient in Microsoft Office with strong working knowledge of Microsoft Excel
Proven ability to manage tasks with competing priorities and deadlines, while independently driving projects to completion
