Job Description

In this role, you'll:

  • Manage day-to-day operations and support services for the Deputy Secretary and the Divisional Management Office, ensuring seamless delivery and operational efficiency.
  • Oversee incoming correspondence and produce accurate, high-quality documents including briefing notes, reports, presentations, and communications for Deputy Secretary approval within strict deadlines.
  • Contribute to divisional business planning processes, ensuring alignment with corporate strategies, drafting plans for approval, and translating them into measurable performance targets with regular reporting for senior leadership.
  • Apply governance frameworks and service level agreements to identify and report on risks, monitor progress, manage interdependencies, and resolve issues to support divisional performance.
  • Coordinate with other DMOs, PMO, Government Relations, Communications, People & Culture, Finance, and TfNSW divisions to enhance collaboration, streamline processes, and ensure accountability and clarity across functions.
  • Manage forecasting, monitoring controls, and performance reporting; prepare detailed budget and cash flow forecasts, milestone reports, and recommendations on cost approvals and variations while addressing program issues proactively.
  • Oversee internal approvals, reporting systems, documentation, and communications to support divisional activities and provide administrative support where required.
  • Prepare comprehensive performance reports, presentations, and high-level briefing materials for executive meetings, corporate plans, annual reports, and ministerial submissions; provide secretariat support for divisional leadership forums and committees.
  • Maintain trusted adviser status through proactive decision-making, sound advice, and thought leadership while navigating complex priorities and resource demands.

About you

  • Demonstrated experience at a management level within a complex, fast-paced environment, preferably in a matrix reporting structure.
  • Strong understanding of government operations, communications, and stakeholder relationship management.
  • Proven ability to manage competing priorities, deliver under pressure, and maintain high standards of governance and compliance.
  • Tertiary qualifications in a relevant discipline or equivalent professional experience.
  • Exceptional organisational, analytical, and problem-solving skills with a proactive approach to risk and issue management.
  • Advanced communication and interpersonal skills, capable of influencing and engaging stakeholders at all levels.
