Position Summary
The Clinical Practice Manager is responsible for the overall strategic direction, coordination, and operational success of the clinic(s). This leadership role ensures seamless daily operations by managing administrative employees, optimizing patient flow, overseeing the revenue cycle and financial reporting, and guaranteeing strict adherence to regulatory compliance standards (OSHA, HIPAA). The manager collaborates closely with providers to implement policies, drive performance goals, and foster a positive, efficient environment that delivers high-quality patient care and supports long-term practice growth.
Key Duties and Responsibilities
- Effectively communicates with all required to resolve issues closest to the solutions.
- Manages daily operations and activities for clinic services at CrescentCare that operate out of two separate locations.
- Partners with clinical, non-clinical and billing employees.
- Manages, hires, trains and schedules Patient Access Representatives where needed.
- Drives the highest quality service, coordinates effective, timely and accurate pre-registration, check-in process, and check out process in alignment with CrescentCare’s goals.
- Establishes work standards and team member goals and objectives.
- Monitors employees for accuracy, compliance, productivity, and timeliness of employees.
- Train employees when hired and as required to ensure registration check-in duties are performed at assigned sites with speed and accuracy by employees including accurate demographic, contact information, insurance verification, collection of copays and deductibles, financial counseling, sliding fee scale payments, patient balance, HIPAA, consents, etc.
- Provide coaching to employees in real time when issues are raised regarding the billing/claims from payors or other concerns.
- Ensure employees are appropriately and effectively performing pre-registration verifying insurance and demographics prior to the visit dates.
- Answer insurance questions from PARs, patients, and CrescentCare employees.
- 25-50% of time should be spent on the floor working directly with employees and patients.
- Conduct regular, documented, and meaningful one-on-one supervision sessions with each direct report on a regular basis.
- Assist PARs in the resolution of patient balance review or questions during the pre-registration or registration process.
- Develop and implement systems to effectively audit and monitor PAR’s work for compliance, productivity, and accuracy. Provide feedback.
- Ensure the patient flow and check-in process conforms to agency’s goals and timelines for cycle time duration.
- Ensure that information is clearly and consistently communicated to the PAR employees.
- Build effective working relationship with the clinical team and operations team. Problem solves effectively when there are patient check-in issues, patient payment issues and challenges.
- Assist agency in increasing patient volume and revenue at all locations by working closely with clinical provider, operations and nursing leadership to monitor provider schedules.
- Adhere to confidentiality requirements of HIPAA and CrescentCare policies, maintain compliance with safety and OSHA regulations and requirements for assigned sites.
- Promote performance improvement:
- - Monitor rejected claims from front end causes to identify areas for improvement.
- - Track issues, work the issues assigned.
- - Attend billing/registration meetings to review billing goals and work towards problem resolution.
- Provide recommendations to leadership to improve the patient flow and increase volume and efficiency of patient flow. Effectively implement agreed upon changes.
- Serve as a back-up financial counselor and patient access representative as needed.
- Manage and ensure that claims in insurance/eligibility bucket are addressed.
- Directs, implements, and supports strategies and action plans for areas of responsibility.
- Oversee daily clinic activities and provide direction and guidance to employees as needed.
- Oversee the inventory management of clinic supplies.
- Assist Clinical Practice Director with the onboarding process for new providers.
- Ensures compliance with regulatory guidance.
- Support professional development of employees.
- Support appropriate implementation of clinical policies and procedures.
- Assist in employee performance evaluations and retention activities.
- Assist with Environmental (EOC) Rounds Worksheet Follow -up. Support CQI and other PMC related projects, including but not limited to UDS, RSR, PCMH.
- Identify areas of improvements and concerns and implement appropriate corrective actions.
- Perform inventory control and management to support cost reduction initiatives.
- All other duties as assigned.

Qualifications
- Bachelor’s degree in business, healthcare administration or comparable area of study and 3-5 years of progressive experience in a clinic setting with a focus on management or supervision are required.
OR
- High School Diploma and 8-10 years of healthcare experience in a clinic setting and 3-5 years of management or supervision experience are required.
Other (licensure, certifications)
Certified Medical Practice Executive (CMPE) or Certified Physician Practice Manager (CPPM) is preferred.
Education
-  Bachelor’s degree in business, healthcare administration or comparable area of study required.
Work Experience
- Minimum of 1 supervisory experience required.
- Minimum of 3 years of health care or clinical operations experience required.
- Minimum of 3 years of experience in health care practice management leadership preferred.
