Manager Clinical Operations - USFTGP Pinellas Park-(2600033B)

The Manager of Ambulatory Clinical Operations supports the Sr Manager/Director in overseeing the daily administrative and clinical operations of ambulatory care services. This role focuses on ensuring efficient and high-quality patient care across assigned clinics, locations, specialties, service lines. Responsibilities include assisting with operational assessments and improvements, collaborating with clinic staff to achieve quality outcomes, and managing the hiring and evaluation of team members. The Manager also supports quality improvement initiatives, ensures compliance with regulatory standards, helps manage budgets and expenses, addresses patient and staff concern to enhance satisfaction, and assists in the development and implementation of policies.

Essential Functions

  • Provide administrative oversight and support for patient care/clinical support related activities at all clinic locations that have been assigned.
  • Assists in the preparation and submission of operational budget recommendations for assigned practices, departments, or specialties in support with the senior leadership team. Submission of budget recommendations for FTE and operational expense alignment based on historical trend and FY goals.
  • Ensures competence of assigned team members and compliance with regulatory requirements, organizational policy, and performance requirements.
  • Builds and fosters collaborative relationships with other departments/service-lines within the organization to stay informed and abreast of new initiatives, products, and services; identifies opportunities to support organizational initiatives, quality, efficiency, effectiveness and world class service excellence.
  • Participates and supports implementation of key projects, processes and performance reports, data and analysis; forecast requirements, analyzes variances and initiates corrective actions.
  • Implement ongoing quality and operational process improvements through the demonstration of quantifiable clinical and/or operational outcomes, safety management and operational efficiency.
  • Creates updates and maintains operational metrics and analytics reporting process including the communication of such metrics and analytics.
  • Confers with Sr. Manager/director to review achievements and discuss required changes in goals or objectives resulting from current status and conditions. • Responsible for patient experience strategy deployment, initiatives, and escalations through operational metrics and identified priorities while ensuring patient flow is supported and proper utilization of all clinic space.
  • Updates job knowledge by participating in educational opportunities; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices, participating in professional societies.
  • Demonstrated competence in the following Leadership functions, abilities, and skills: Planning, Organizing, Staffing, Coordinating, Reporting, Budgeting and Ability to lead effectively in a Matrix Organization.
  • Demonstrated ability to Solve Problems, Influence People, Adapt Approaches, and Deliver Results.
  • Serve as a liaison between Directors, Physicians, and Staff regarding any clinical and operational challenges.
  • Respond to daily operational challenges by understanding issues through rounding, huddles and team member concerns that are brought forward to ensure resolution and support for team members.
  • Performs other job duties as assigned.

Qualifications

  • Bachelor's Degree Healthcare Administration or Business or Nursing
  • Four (4) years progressive experience in healthcare setting with at least two (2) of those years in Lead or Supervisory role. Relevant years of experience in lieu of bachelor's degree.

Technical Knowledge, Skills, and Abilities:

  • Must be able to communicate and collaborate effectively with a diverse group of patients, families and team members.
  • Responsible for the supporting strategy and operational execution of initiatives to expand the services, creation of efficient clinic operations, and supports services through service line initiatives.
  • Analytical skills related to independently interpreting/analyzing budget and workforce data.
  • Maintains current knowledge based of compliance, rules and regulations, and licensure from accrediting boards.
  • Must be self-directed and capable of priority setting and problem solving.
  • Must be able to demonstrate effective management skills and techniques.
  • Must be able to demonstrate patient centered/patient valued behaviors.
  • Must demonstrate advanced knowledge of assigned department operation including policies, personnel and budget management.
  • Demonstrated strong skills in organization, leadership, and workload management.

  • Willing to be flexible and adjust to ongoing changes in health care systems.
