Reporting to the Director, Client Billing Services, the Manager, Billing, will be responsible for ensuring the efficient and accurate transmission of invoices to the Firm’s clients through various mediums. This role ensures that all client invoicing adheres to established guidelines to facilitate timely payments. The Manager, Billing, will also take the lead in resolving billing issues and identifying process improvements to enhance efficiency across all offices and practice groups. As a key contributor to the Firm’s financial performance, this role plays a critical part in driving cash flow through the implementation of effective and streamlined billing practices.

Major Responsibilities

  • Manage all phases of client billing, including acting as a subject matter expert and point of escalation for billing inquires
  • Responsible for managing and enhancing billing sections of software used in client billing (including but not limited to Intapp Open, Intapp Time, Aderant, PrebillViewer and PowerBI)
  • Oversee daily billing operations including setting and strictly monitoring monthly activity against billing targets
  • Collaborate with various stakeholders to improve billing processes and drive billing efficiency
  • Acting as a primary escalation point to clients, partners, assistants, or any Firm members for billing questions or issues, utilizing technical and critical thinking skills in a fast-paced environment
  • Coach and manage team members in the billing department to develop best practices, training materials, KPIs, and tracking mechanisms
  • Responsible for training all new and existing staff comprehensively, setting them up for success and identifying opportunities for skill growth and career development
  • Provide excellent internal and external client service, leading meetings with staff, clients, and partners to investigate and resolve billing issues
  • Understand client requirements and ensure that billing processes are compliant to mitigate any potential billing and/or payment delays
  • Develop and uphold team service level agreements (SLA) to ensure the team is responsive to emails and completes all tasks in a timely manner with strong attention to detail
  • Proactively lead initiatives through agile project management to improve the billing process
  • Responsible for training Partners & LAs on billing-related software and processes
  • Review and analyze client guidelines to ensure billing compliance
  • Maintenance of client & matter records information in finance system

Position Requirements

Education and Experience

This position requires a bachelor’s degree, MBA, CPA, CFA, PMP or education in a related discipline. A minimum of 5 years of billing and 3 years of supervisory experience in a professional services setting is preferred. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

  • Advanced skills with Microsoft Office products (Excel, Outlook, Word, PowerPoint)
  • Experience with Intapp Open, Intapp Time, Intapp Terms, Aderant, PrebillViewer, eBillingHub, SQL & PowerBI is an asset
  • Ability to work in a fast paced, high-volume environment with strong problem-solving skills
  • Excellent stakeholder relationship management skills
  • Leadership skills to coach/train/mentor team members
  • Excellent communication (both oral and written), interpersonal, and negotiation skills
  • Strong attention to detail, organization, and time management skills

Compensation:

The range of expected compensation for this position is $105,000 - $120,000 annually. Compensation offered will be based on a variety of factors including job-related knowledge, education, skills and experience.

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
