Job Description

We are currently seeking a candidate to fill the position of Management Assistant, who will provide high‑level administrative, organizational, and operational support to senior management, with specific emphasis on professional presentation creation and structured documentation management. The role ensures efficient day‑to‑day operations, enhances leadership productivity, and acts as a communication hub across departments and external stakeholders.

YOUR TASKS:

  • Administrative & Executive Support:
    - Manage calendars, schedule meetings, and organize business appointments.
    - Organize domestic and international business travel.
    - Prepare reports, presentations, correspondence, and meeting materials.
    - Handle incoming communications and maintain professional responses on behalf of management.
  • Office & Project Coordination:
    - Coordinate internal and external meetings, events, and workshops.
    - Support project tracking, follow-up on deliverables, and ensure deadlines are met.
    - Maintain documentation, filing systems, and administrative processes.
  • Financial & Procurement Support:
    - Manage expense reports, invoices, and budget tracking.
    - Assist with purchase orders, supplier coordination, and cost follow-up.
  • Executive Presentations & Communication Materials:
    - Develop high‑impact PowerPoint presentations for leadership, including narratives, data visualization, structure, and design.
    - Transform rough inputs into clear, compelling slide decks.
    - Ensure brand‑compliant layouts and professional formatting.
    - Consolidate and validate data for accurate content.
    - Use AI tools (Microsoft Copilot, PowerPoint Designer) to accelerate slide creation.
  • Documentation & Information Management:
    - Manage digital archives, SharePoint sites, and document libraries.
    - Establish version control and naming conventions.
    - Ensure compliance with documentation standards.
    - Track contracts, project files, and reports.

YOUR PROFILE:

  • Bachelor´s degree in Business Administration, Executive Secretarial, Management or similar.
  • Previous experience in administrative or executive support roles (minimum of 2 years preferred).

  • Proficiency in office tools (especially PowerPoint and Excel).
  • Fluent in English and Spanish. Knowledge of German will be considered an asset.
  • Strong organizational skills, proactivity, and attention to detail.

  • Excellent communication skills and a high level of confidentiality.
