Job Description

We are looking for a highly organized, proactive, and service-oriented Management Assistant to support senior leaders within our NPE Division. Acting as a trusted partner, you will ensure smooth day-to-day operations, enable an effective leadership environment, and contribute to strong collaboration across a global organization.

This role goes beyond traditional administrative support—you will play a key part in driving operational efficiency, facilitating coordination across teams and geographies, and supporting continuous improvement through digital and innovative ways of working.

Responsibilities / Tasks

Executive & Administrative Support

  • Provide proactive administrative and organizational support to senior leaders
  • Manage complex calendars across different time zones, ensuring effective prioritization of meetings and business activities
  • Handle sensitive business and people-related information with the highest level of discretion and confidentiality
  • Support follow-up on action items, deadlines, and key initiatives

Travel & Expense Coordination

  • Organize international and domestic travel, including flights, accommodation, visas, and logistics
  • Manage travel expenses, purchase orders, and invoice follow-up in line with company policies

Meetings, Events & Communication

  • Coordinate leadership meetings, workshops, town halls, and team events
  • Prepare high-quality presentations, reports, and meeting materials
  • Support internal communication activities, including announcements, newsletters, and leadership updates

Stakeholder & Organizational Coordination

  • Act as a central coordination point across functions, countries, and leadership teams within the NPE organization
  • Collaborate with HR, Finance, Procurement, IT, and Communications teams
  • Maintain organizational charts, distribution lists, and team information
  • Coordinate onsite meetings and leadership visits, including logistics and agenda preparation

Operational Excellence & Continuous Improvement

  • Identify opportunities to simplify administrative processes and improve efficiency
  • Support the adoption of digital tools and AI-based solutions
  • Contribute to modern, professional communication and collaboration standards

Your Profile / Qualifications

Experience & Education

  • Bachelor’s degree in Business Administration, Management Assistance, or a related field (preferred)
  • 3–5 years of experience in a similar management or executive assistant role
  • Experience supporting senior leadership in an international or matrix environment

Skills & Competencies

  • Strong organizational and multitasking skills with high attention to detail
  • Excellent communication and interpersonal abilities
  • High level of professionalism, discretion, and reliability
  • Proactive, solution-oriented mindset with the ability to work independently

Technical Skills

  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams; Power BI is a plus)
  • Digital mindset with interest in process optimization and AI tools

Languages

  • Fluent English and Spanish required
  • Additional languages are a plus
