We are looking for a Management Assistant to join our team in Wavre. We offer a hybrid working model, with 3 days on site and 2 days working from home each week.

In this role, you will provide comprehensive support to different departments, assisting team members with administrative, financial, and logistical processes. You will ensure that all finance-related activities, events, meetings, and other processes are supported in a compliant and meticulous manner.

Key responsibilities:

  • Ensure proper execution, coordination, and good outcome of all administrative activities.
  • Initiation and follow-up of contacts, suppliers, Purchase Orders, and Invoices.
  • Initiation and follow-up of Service Agreements.
  • Track expenses, budget, and expense forecast.
  • Optimize logistic and administrative support to managers by anticipating needs.

Tasks and responsibilities

  • Ensure the smooth running of interaction processes with external partners, strictly adhering to internal compliance.
  • Manage the practical organization of affiliate employee meetings.
  • Assist the business with administrative tasks: adapting presentations, coordinating internal events, and handling projects as necessary.
  • Conduct necessary follow-ups to support patient organizations endorsed by AbbVie BeLux and AbbVie Europe.
  • Take minutes and follow up with team members.
  • Handle ad-hoc tasks as requested by Directors and Managers.

Qualifications

  • Bachelor’s degree in Office Management or equivalent experience.
  • Strong sense of compliance with rigorous application of procedures.
  • Proficiency in MS Office 365 tools (MS Teams, PowerPoint, Excel, Outlook, SharePoint).
  • Excellent verbal and written communication skills in French and English; knowledge of Dutch is an asset.
  • Outstanding organizational skills with a strong sense of responsibility.
  • Ability to work autonomously while effectively managing priorities.
  • Team-oriented, dedicated to supporting both the business and external clients.
  • Flexible and adaptable to commercial and international environments.
  • Proactive mindset with the ability to take initiatives.
