Job Description

Department

In this position you will support the Head of Risk Management, the Head of Legal and the respective MT’s. Besides various operational and secretarial tasks, such as agenda management, booking/planning meetings, booking travel, you represent both departments towards internal and external stakeholders and other departments within Robeco. Furthermore you will support the department on administrative activities, including maintenance of the intranet sites, governance calendars, filing and preparation of reports.


The Risk Management department consists of approximately 28 international professionals, led by the Global Head of Risk. The department is organized in three sub teams. These teams are based in Rotterdam and work with a broad range of in- and external stakeholders.

The Legal department consists of 17 international professionals and is led by the General Counsel. Within the Legal team, the role involves supporting the General Counsel and other team members, as well as working closely with the other management assistant in the team on a wide range of administrative tasks. These include coordinating the execution of documents, arranging notarizations and apostilles, and handling invoices from external counsel.

What you will do

  • Manage multiple tasks, prioritize, and meet deadlines.
  • Ensure accuracy in documentation, scheduling, and communications.
  • Engage in clear and professional interaction with internal and external stakeholders.
  • Anticipate needs and take initiative to resolve issues before they arise.
  • Work collaboratively with colleagues within a diverse and international team and support the broader team.
  • Handle sensitive information with care and professionalism.
  • Utilize office software and digital tools for scheduling, document management, and communication, especially MS Word, Powerpoint, Sharepoint and Outlook.
  • Address routine issues independently and escalate when necessary.
  • Adapt to changing priorities and support ad hoc requests.
  • Focus on providing high-quality support to managers and team members.

What you bring

  • MBO/HBO degree or equivalent experience
  • At a minimum 5 years of experience in an administrative or support role, preferably in a corporate or financial environment
  • Strong organizational and multitasking abilities
  • Pro active
  • Strong organizational sensitivity
  • Proficiency with MS Office (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills, fluent in English, Dutch is a plus
  • Discretion and reliability in handling confidential information
