Job Summary:The Mammography Assistant provides administrative, patient-care support, and technical assistance to the Mammography Department. This position serves as an important support role for mammography technologists, helping to maintain efficient patient flow, provide a positive patient experience, and ensure that the department operates in an organized and timely manner. The position combines traditional medical secretary responsibilities with patient care and technologist-assistant duties. The individual will assist with patient preparation, room turnover, stocking and maintaining supplies, obtaining outside imaging, coordinating patient appointments, and supporting the technologists throughout the patient's visit. The Mammography Assistant works closely with mammography technologists, radiologists, scheduling, registration, and physician offices to coordinate screening and diagnostic breast imaging services.

Responsibilities

Essential Functions

  • Coordinates the scheduling of mammography exams so that all exams are scheduled correctly.
  • Greets and assists mammography patients in a professional, compassionate, and timely manner while maintaining patient privacy and confidentiality.
  • Prepares patients for mammography examinations by providing gowns, assisting patients with changing, and ensuring they are appropriately prepared for their scheduled study.
  • Assists mammography technologists as needed with patient flow, room preparation, positioning support, and other non-clinical duties to promote an efficient workflow.
  • Schedules mammography appointments accurately, verifies patient information, and coordinates examinations according to physician orders and department protocols.
  • Makes patient reminder calls to confirm upcoming mammography appointments and provides patients with necessary appointment information and instructions.
  • Assists offices with urgent add-on mammography studies by coordinating scheduling, communicating with the appropriate staff, and helping ensure timely patient access.
  • Works closely with radiologists as needed to support daily workflow, obtain necessary information, and facilitate completion of mammography studies.
  • Uploads outside mammography and breast imaging studies and ensures images are available in the appropriate imaging system for radiologist review
  • Pulls and prepares prior studies one day in advance through SecureView so that all relevant imaging is available for the radiologist to review and compare.
  • Prints daily patient letters and other required departmental correspondence.
  • Folds, stuffs, and prepares envelopes for mailing patient letters, reports, and other departmental correspondence.
  • Processes incoming and outgoing calls, messages, referrals, and medical records in a timely and professional manner.
  • Responds appropriately and immediately to patient concerns, urgent situations, and emergencies, notifying the appropriate clinical staff as needed.
  • Maintains a safe, clean, and organized mammography reception and patient-care environment for patients, visitors, and staff.
  • Ensures accurate preparation, processing, and documentation of mammography orders, referrals, records, and required screening information.
  • Communicates effectively with patients, technologists, radiologists, referring providers, and other departments to support efficient patient care and workflow.
  • Ensures compliance with hospital policies, HIPAA requirements, assists as needed with mammography regulations.
  • Maintains confidentiality and safeguards patient medical information in accordance with organizational policies and regulatory requirements.
  • Mammo secretary/assistant will assist Radiology, Nuclear Medicine, Ultrasound and CT Scan Departments as needed
  • Willing to cover Athol Hospital as requested.
  • Utilizes the hospital computer system to enter information for the release and tracking of patient’s exam releases and to obtain accurate medical record information.
  • Locates prior exams, ensures all prior records are correct, and coordinates exam releases and tracking.
  • Assures that the environment of care or services is free of objects which may contribute to the likelihood of patient falls, slips or trips. Makes readily available assistive devices for ambulation. Complies with policies and procedures relating to gait belts and similar devices.
  • Is aware of the increased risk of falls, slips, and trips for elderly patients and visitors, and assures that the environment of care or services is free of objects and spills which may contribute to the likelihood of patient falls, slips, or trips.
  • Is sensitive to the tendency of older patients to have hearing difficulties. Verifies that he or she is speaking with appropriate level of loudness so that the patient hears instructions, questions, and conversations with caregiver, but that offense is not given to the patient as the result of the voice being excessively loud. Is able to differentiate problems with hearing versus problems with comprehension.
  • Takes appropriate actions to assure physical security of children and complies with policies and procedures related to the prevention of neonate, infant and child abduction.
  • Is aware of reduced endurance and strength present in many elderly, and provides accommodation for seating during extended discussions.

Job Requirements

Minimum Education

  • High school graduate or equivalent required.

Minimum Work Experience

  • Experience with medical terminology required.
  • Meditech experience preferred.

Required Skills

  • Excellent word processing and computer skills required.
  • Excellent telephone skills required.
  • Proficient in office procedures preferred
  • Flexible to work other hours or shifts as needed preferred
  • Experience with billing and insurance preferred
  • Ability to communicate in English; both verbally and in writing required.
