Maintenance Planner & Scheduler

Reporting directly to the Campus Maintenance Planner Lead, the Maintenance Planner & Scheduler will be part of the team responsible for planning, scheduling, parts acquisition, and inventory management for the Maintenance Department. This role is key in developing, managing, and controlling all aspects of planning and scheduling.

Primary Responsibilities
Planning:
- Scoping jobs for all necessary job steps including required tooling, special support equipment, drawings and diagrams, parts, manpower, and safety elements to be addressed
- Identifying the required parts on each work order; verifying parts are available and ordering parts as required
- Coordinating with procurement to generate material purchase orders from purchase requisitions
- Forecasting manpower availability VS manpower required
- Planning and coordinating equipment commissions/decommissions
- Reviewing completed PMs and continuously improve their SOP’s including parts and tasks
- Promoting and maintaining a safe working environment through compliance with FGF Health & Safety Program
- Backlog management, including weekly and monthly backlog reviews, purging aged work orders as required
- Monitoring and updating work orders and notifications
- Continuously generate, evaluate, and optimize PM & CM job scopes and SOP’s
- Work with Maintenance leaders to identify key areas of improvement
- Tracking and reporting of Key Performance Indicators (KPIs) used in planning
Scheduling:
- Verifying resource requirements and availability before scheduling planned work and update work orders with appropriate status
- Generating and reviewing the 14-day Maintenance schedule with Maintenance leaders to refine details surrounding current conditions and coordinate with cross functional teams for concerns, conflicts, or limitations
- Printing planned work orders and assign as per schedule
- Kitting parts and special tools and transferring parts from central warehouse as required for planned work orders
- Coordinating external services requirements with contractors as required
- Interacting daily with Maintenance Leader to ensure schedules are adhered to and modified as required
- Reviewing completed work orders for proper close out which includes, work confirmation, parts consumption, services confirmation
- Adhere to and enforce maintenance processes and procedures
- Tracking and reporting of Key Performance Indicators (KPIs) used in scheduling
Spare Parts Inventory Management:
- Receiving parts in the SAP EWM and put away to proper bin locations
- Consuming parts in completed work orders as well as sending out specific spare parts for repair or overhauls
- Cycle counting spare parts to ensure inventory accuracy and avoiding stockouts
- Monitor and sustain maintenance shop supplies, consumables, and chemicals
Required Experience
- Post-secondary education with a related technical diploma or Engineering degree
- Previous experience as a Planner/Scheduler is a significant asset
- SAP software super user an asset
- Strong computer skills in Microsoft Office functions particularly Excel, Outlook, and Word
- Demonstrated strengths in organizational, planning, and resourcing skills and able to work with standard procedures and processes
- Excellent communication with follow-up skills is required. The ability to meet deadlines is essential.
- Familiarity with the maintenance processes, asset management processes and warehouse management systems are an asset
- Must be a proven team player and work well in a multi-tasking, fast-paced environment
