Department: Maintenance

Reporting To: Maintenance Manager


We are CURRENTLY seeking a phenomenal Maintenance Planner to join our team!

What does a typical day look like? I'm glad you asked!

The Maintenance Planner improves workforce productivity and maintenance quality by anticipating potential delays and developing effective work plans. This role is responsible for creating structured job plans that support the efficient use of maintenance and contract resources. The Maintenance Planner works closely with machine operators, maintenance technicians, production supervisors, and other facility personnel to coordinate maintenance activities and ensure work is completed safely and effectively. This role will also serve as the backup MRO Buyer.

Key Responsibilities

You will:

Maintenance Planning & Job Plan Development

  • Develop detailed job plans for preventive, predictive, and corrective maintenance activities.
  • Research maintenance tasks and document procedures in structured, chronological job plans.
  • Ensure job plans include required tools, part drawings, safety requirements, permits, MSDS documentation, and environmental compliance requirements.
  • Identify required crafts, skills, labor requirements and estimate labor hours and job costs.
  • Maintain and update job plans to support safe and efficient repair, replacement, and improvement activities.

Maintenance Scheduling & Work Management

  • Review maintenance work requests and process them through the CMMS workflow to generate work orders.
  • Provide work orders and job plans to the Maintenance Manager and Lead Technicians prior to scheduled shifts.
  • Prepare and stage maintenance job kits by verifying required parts, materials, tools and documentation prior to scheduling work.
  • Participate in weekly maintenance scheduling activities.
  • Develop and maintain the annual Preventive Maintenance (PM) schedules.
  • Review Completed work orders and provide feedback to improve job plans and scheduling accuracy.
  • Manage and maintain the CMMS work order backlog by reviewing, prioritizing and planning maintenance requests to ensure accurate work order data and optimized scheduling.
  • Asset Management & CMMS Administration.
  • Maintain accurate asset records and equipment files in both electronic and hard copy formats.
  • Track equipment repair history, costs, and recurring failures using the CMMS and other data sources.


Parts Planning & Procurement

  • Identify and initiate procurement of parts, special tools, and rental equipment required for planned maintenance work.
  • Manage spare parts inventory and adjust inventory levels as needed.
  • Serve as backup MRO Buyer providing purchasing support for maintenance and cross-functional team materials, including purchase orders, vendor coordination and material procurement to ensure uninterrupted operations.
  • Assist with parts identification and specifications during unplanned equipment failures.

Reliability

  • Maintain and continuously improve equipment FMEA and asset criticality rankings to ensure maintenance strategies align to business risk.
  • Lead Root Cause Analysis investigations for repeat failures and high cost breakdowns; implement and verify effectiveness of corrective actions to prevent recurrence.
  • Utilize CMMS data to identify top cost drivers and develop targeted improvement plans.
  • Drive preventive maintenance optimization by analyzing failure history and adjusting task scope and frequency to improve equipment uptime and efficiency.
  • Drive Total Productive Maintenance (TPM) initiatives across the plant, collaborating with operations to establish equipment ownership and improve OEE.

  • Attend safety and departmental meetings and promote safe work practices.
  • Assist other plant personnel as needed.
  • Perform other duties as assigned.

Skills, Knowledge & Expertise

What You Offer Us:

  • Minimum 3 years of experience in a manufacturing maintenance environment.
  • High school diploma or equivalent.
  • Proficiency with Computerized Maintenance Management System (CMMS) and Microsoft Office (Excel, Word, Outlook).
  • Working knowledge of occupational health and safety regulations and safe work practices.
  • Ability to manage multiple tasks and priorities in a fast-paced manufacturing environment.
  • Strong communication and interpersonal skills to effectively coordinate with maintenance technicians, operations and vendors.

Brownie points if you have:

  • Skilled trades certificate with related maintenance experience.
  • Technical diploma or degree in mechanical, electrical or related field.
  • BS in Industrial, Mechanical or Electrical Engineering
  • Experience with maintenance planning, work order management and preventive maintenance programs.
  • Experience coordinating maintenance parts, job kitting or maintenance materials planning.
  • Experience coordinating MRO inventory, spare parts or procurement activities.
  • Understanding of environmental regulations applicable to manufacturing operations.
  • Certifications or training such as:
    • Emergency Response / Spill Response
    • Fall Protection
    • Life Safety Systems
    • Lift Truck, Boom Lift, Scissor Lift Operation
    • Confined space
