We're hiring Maintenance Operations Support to strengthen the backbone of our maintenance department. This role focuses on recurring services, workflow accuracy, vendor coordination, and documentation - ensuring our technicians, vendors, and internal teams can execute without friction.

This is not a reactive role. It's for someone who likes things organized, predictable, and done right the first time

What You'll Own

As Maintenance Operations Support, you'll be responsible for the behind-the-scenes execution that keeps maintenance operations running smoothly across hundreds of properties.

Operational Coordination

  • Schedule and manage recurring services such as landscaping, snow removal, clean & checks, common area cleaning, boiler on/off, and laundry coin pickups

  • Assign vendors by location and service scope to prevent delays or missed visits

  • Track service completion and flag issues early before they become escalations

Workflow & System Accuracy

  • Maintain clean, accurate records tied to recurring services and work orders

  • Manage the maintenance email inbox daily - routing, resolving, and closing loops

  • Support service-level tracking to ensure expectations are consistently met

Inventory & Process Support

  • Partner with dispatch and technicians to keep shop and van inventory records accurate

  • Ensure documentation is complete so downstream billing and reporting are not impacted

  • Audit after-hours vendor information to maintain reliable emergency coverage

Qualifications

  • At least 1 year coordinating vendors, contractors, or service providers

  • Strong organizational and time-management skills

  • Comfort working in operational systems and following documented workflows

  • Solid written and verbal English communication skills

  • Ability to manage multiple tasks without losing accuracy

Compensation & Work Setup

  • Pay: Starting at $7 per hour

  • Work Arrangement: Fully remote

  • Requirements: Reliable internet and a distraction-free workspace
