What you will do

The Fleet Maintenance Coordinator is responsible for providing administrative and operational support to the maintenance department by managing fleet records, maintenance documentation, regulatory compliance requirements, procurement activities, and equipment tracking systems. This position serves as a key liaison between maintenance personnel, vendors, regulatory agencies, and operations personnel to ensure fleet assets are properly maintained, compliant with applicable regulations, and accurately documented. The role supports efficient shop operations by maintaining maintenance records, coordinating preventative maintenance activities, processing registrations and permits, managing warranty claims, and ensuring the accuracy of fleet information systems.

Main Responsibilities:

  1. Order maintenance supplies, parts using procurement system.
  2. Daily entry of equipment miles/hours.
  3. Create, maintain and archive records for work order labor & maintain work order files, to include preventive maintenance.
  4. Maintain log for DOT inspection repairs.
  5. Assign unit numbers and enter in systems as needed.
  6. Maintain equipment list.
  7. Track and set up warranty work repairs.
  8. Maintain and send weekly equipment service lists.
  9. Maintain annual service check lists.
  10. Process weight distance permits for entire fleet and as needed for new or repaired fleet.
  11. Process vehicle registration & renewals.
  12. Performs other clerical duties as needed.

Experience and abilities you will need:

Required:

  • High School Diploma or GED required
  • Read, write and speak English and Spanish
  • Strong organizational, planning, and time-management skills.
  • Experience maintaining records, processing purchase orders, and coordinating administrative functions
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Ability to generate reports, maintain tracking logs, and analyze data for accuracy.
  • Experience in a diesel repair shop, trucking, transportation, construction, or heavy equipment environment preferred.
  • Interact and clearly communicate with all levels of the company, customers, vendors and support agencies.
  • Possess strong interpersonal, detail oriented, and computer skills.
