Job Description

The Role of Maintenance Coordinator

Under general supervision, facilitates and coordinates vehicle and equipment acquisition and disposal activities, maintains DMV and compliance records, posts daily entry of fleet information into the computerized fleet management system, prepares purchase orders for management approval, and receives invoices for payment processing for goods and services received.

Shift/Required Availability: Monday-Friday 7am-3pm

Essential Responsibilities

  • Review requisition orders to ensure compliance to capital budget.
  • Facilitates the routing, approval and communications of capital change orders.
  • Maintain fleet and equipment records in computerized maintenance management system.
  • Prepare purchase orders for management approval, including the assignment of business unit codes.
  • Review purchase orders to ensure accuracy and proper payment of invoices.
  • Act as point of contact with key vendors to coordinate purchasing activities.
  • Performs reconciliation of all capital requisitions to purchase orders and tracks purchase order transactions to vendors, creating periodic reports for the department with status.
  • Resolve data errors and escalate other errors to management for comparison against identified critical objectives and tasks.
  • Facilitates and coordinates asset disposal activities and ensures all required documentation is completed accurately and timely.
  • As required, communicates with vendors and up-fitters to ensure compliance with company’s needs and expectations on equipment orders.
  • Other duties as assigned.

Qualifications

  • Four years of customer service and clerical experience.
  • Previous experience with fleet management systems and knowledge of parts preferred.
  • Knowledge of computer programs, including Microsoft Office suite of applications, fleet management systems, parts, materials and supplies used in shop operations and inventory control.
  • Ability to use computers and technology capabilities.
  • Proficiency in purchase orders, inventory control, etc.
  • Communicate well both verbally and in writing; listen to and understand various viewpoints; share relevant information timely; provide constructive feedback; maintain professionalism.
  • High school diploma or GED required.
  • Bachelor's degree preferred.
