A Strategic Role at the Heart of Logistic
Responsibilities
1)Requestfollow-up (maintenance & installations) in ZIP
Document,prioritize, and follow up on maintenance andequipmentinstallationrequestsin ZIP,fromopeningtoclosure
Ensurerequestsincludeallrequiredinformation (description,urgency, site,constraints, photos/plans, etc.).
Maintainrigoroustraceability(statuses, dates,comments,attachments, and exchangehistory).
Whenpurchasingisrequired,providecompletetechnicaloperationalinformation to ProcurementPurchasingandtracktherequeststatusin ZIP.POissuancemanagement,purchasingactivities, and ETAownershipremainunderProcurementgovernance
Follow upwithstakeholders toensuretimelines are met and fileskeepmovingforward
2) Supplier coordination (maintenanceonly)
Contact vendors (maintenance and repair)in accordance withEngineering team recommendations and in compliance with approved vendor lists and Procurement processes.
Gather informationsuchas indicativepricing, lead times, andavailability, and/orrequestquoteswhenrequiredto support thetechnicaldecision-makingprocess, in collaborationwiththemaintenanceelectromechanicandProcurementPurchasingVendornegotiation, finalselection, andpurchasingtermsfallunderProcurement’sresponsibility,basedonrequirementsprovidedby Engineering.
Ensurerequestsarehandledwiththe rightsuppliers, in accordancewithinternalpractices (approvedsuppliers,termsand conditions, and arrangements).
Follow upoperationallyon confirmations,deliveriesreceipts, andplannedinterventions,coordinatingwithProcurementPurchasingforanypurchasingPO/ETA-relatedactivities
3) Planning and communicationwithstations
Notifystations of suppliervisitsinterventions andcoordinatetimewindowsat themostoperationallyappropriatemoment.
Reduceoperationalimpacts byproposingplanning options (off-peakwindows,groupinginterventions, etc.).
4) Proactive management ofrisksandunplanneddelays
Identifyandescalateunplanneddelaysquickly(supplierdelays,stockouts,accessconstraints, scope changes).
Explore alternative solutions (backup supplier,rescheduling, partialorder,expeditedshipping, etc.)withthe Engineeringteam, asneeded
Keepan up-to-datelistofblockersand follow upuntilresolution
5)Internalcoordination for sitereadiness
Coordinatewithinternalteamswhenrequiredtopreparesites (e.g.,electricalinstallation,safetyprerequisites, IT/network).
Ensureprerequisitesare metpriorto the intervention (powersupply,space,access,teamavailability).
Facilitatecommunicationamongteamstoensuresmoothexecution
6) Administrative support, compliance, andcontinuousimprovement
Support documentmanagement :quotes,technicaldocumentation, confirmations, intervention reports, proof ofreceipt,invoices(per process).Purchaseorders(POs) areissuedandmanagedby ProcurementPurchasing
Producebasictrackingandindicators(statuses, lead times, volumes,suppliers, causes ofdelays) and proposeimprovementopportunities
Contributetostandardizingpractices,updatingprocedures, andoptimizingthe maintenancerequestand newequipmentpurchasingflow.
Qualifications
Collegediplomain administration,logisticsprocurement,industrialmanagement, office administration, orequivalentexperience
Relevantexperienceof 3 to 5yearsin coordination,operationalfollow-up, maintenance,procurement, or supplier management (preferred).
Excellentorganizationalskills,prioritization, follow-up discipline, and administrativerigor
Strongeasewithdigitaltools MS Office (Excel, Outlook, Teams) andabilitytoquicklylearna newtool(e.g., ZIP).
Intermediate Excel required: ability to manage maintenance trackers, create pivot tables, and generate KPIs related to breakdowns, downtime, and PMcompliance.
BilingualFrench/English (spokenandwritten) forpotentialinteractionswithsuppliersandteamsnationwide
Abilitytoworkautonomouslywithgoodjudgmentand astronginternalcustomerservicemindsetinahigh-volumerequestenvironment
