The Maintenance Coordinator is responsible for overseeing the maintenance readiness, preventive maintenance compliance, defect management, vendor performance, asset registration renewals, and operational uptime of Flowco’s fleet, including DOT and non-DOT vehicles, trailers, and field support assets.
This position ensures fleet assets remain safe, operationally ready, compliant with company standards, and cost-effective while partnering closely with DOT Compliance, Safety, Operations, and field leadership.
Preventive Maintenance Program
- Oversee and manage preventive maintenance schedules for all fleet assets
- Track PM intervals based on mileage, engine hours, OEM recommendations, and operational usage
- Coordinate annual DOT inspections and applicable state inspections
- Ensure vehicles, trailers, support units, and CMV assets remain service compliant
- Monitor Samsara DVIR defect submissions and maintenance concerns
- Coordinate repair assignments and repair closeout verification
- Ensure safety-critical defects are repaired prior to return to service
- Maintain defect documentation for audit readiness and internal accountability
- Manage vehicle and trailer breakdown response
- Coordinate with dealerships, mobile mechanics, tire vendors, and service providers
- Prioritize repairs based on safety, operational urgency, and fleet availability
- Support after-hours breakdown escalation when needed
Fleet Asset Management
Maintain asset records including:
- VIN
- unit numbers
- assigned operators
- department ownership
- PM due dates
- repair history
- inspection due dates
- registration renewals and replacements
- warranty claims
- tire history
- downtime tracking
Vendor Management
- Manage vendor relationships for fleet maintenance services
- Evaluate repair quality, turnaround time, and pricing
- Review repair orders and invoices for accuracy
- Pursue warranty recovery opportunities when applicable
Fleet Readiness / Uptime
- Track out-of-service units
- Monitor PM compliance percentages
- Identify recurring failures
- Escalate readiness risks to leadership
- Partner with operations to prioritize fleet availability
Compliance Support
Partner with DOT Compliance and Safety on:
- annual inspection readiness
- roadside inspection defect response
- maintenance documentation
- out-of-service repair closure
- audit readiness support
Education,
Qualifications & Experience
- High school diploma or equivalent required
- Fleet maintenance, transportation, logistics, or related experience preferred
- 2-5 years of fleet maintenance coordination or enterprise fleet operations preferred
- Oil & gas or mixed fleet operational experience strongly preferred
- Vendor management experience preferred
- Experience with Enterprise Fleet Maintenance or other fleet maintenance systems strongly preferred
Knowledge, Skills & Abilities
- Strong understanding of preventive maintenance program management
- Knowledge of vehicle maintenance coordination and repair workflows
- Strong organizational and documentation skills
- Ability to manage multiple operational priorities
- Familiarity with Samsara, telematics, and fleet systems
- Strong communication skills across operations, field leadership, and vendors
- Analytical mindset with strong cost control awareness
Working Conditions
Environment
- Office-based with periodic field exposure to field locations, yards, and fleet assets.
Hours/Shifts
- Standard business hours with flexibility as needed to support operations, audits, or compliance events.
Physical Demands
