We are currently looking for a motivated individual to join our team at our Lévis, Quebec site. This is a daytime, on-site position from Monday to Friday.

Reporting to the Maintenance Director, the Maintenance Administrative Assistant plays a key role in the department’s operations. The successful candidate supports the Director in tracking preventive maintenance activities as well as handling all administrative tasks related to production.

You will be responsible for:

  • Creating profiles for new vehicles in the mobile fleet in “Maximo,” as well as new containers;
  • Ensuring that all maintenance requests are accompanied by a properly completed work order submitted by the requester;
  • Adding preventive maintenance plans in “Maximo”;
  • Closely monitoring open work orders in the system;
  • Verifying that invoices are correctly assigned to the appropriate work order and that pricing is accurate;
  • Adjusting hours and mileage (KM) on work orders;
  • Confirming that all work has been completed before closing work orders;
  • Following up on purchase requests, order receipts, and work performed by external contractors;
  • Keeping employee timesheets up to date;
  • Performing any other related tasks.

Qualifications

To join our team:

  • 2 to 3 years of experience in administrative support or a similar role;
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook);
  • Knowledge of Maximo, an asset;
  • Bilingual (written and spoken), an asset;

  • Strong organizational and structuring skills;
  • Ability to quickly understand needs and priorities;
  • Self-motivated and able to work independently;
  • Strong computer skills;
